Odyssey is seeking a Administrative Assistant to support the Human Subjects Protection Branch (HSPB) at the Walter Reed Army Institute of Research (WRAIR). The HSPB oversees WRAIR's human research studies, ensuring strict adherence to moral, ethical, and legal standards. The HSPB serves the WRAIR community by advising the Commander on matters related to human subjects research, providing administrative support to the WRAIR Institutional Review Board (IRB), developing human subjects research policies and procedures, and managing the approval process for all research involving human subjects for the WRAIR and its Continental United States (CONUS) and Outside the Continental United States (OCONUS) units.

Duties include, but are not limited to:
The contractor shall provide administrative scientific support for a range of activities to include general administrative duties, meeting support, as well as business and office management duties in support of the HSPB to include the following tasks:
- Assist the Director and HSPB staff with general administrative duties such as answering the phone and responding to inquiries in a courteous and responsible manner without disruption to administrative operations and the mission of the HSPB. No more than two complaints per year are acceptable.
- Assist the Director and HSPB staff with document management and filing. Files may include research protocol files, WRAIR badge renewal files, human subjects protection files, and other general office files. No more than four mis-filings per year are acceptable.
- Assist in submitting requests for temporary duty travel to ensure travel tickets and travel arrangements are made for office staff in a timely manner.
- Facilitate the management of physical mail (to include FedEx and DHL) for the HSPB. This shall include weekly mail pick-up and delivery from WRAIR mail distribution centers. Utilize Government prescribed systems for governing the flow and control of communications as well as filing, storage, and retrieval of records and other documents.
- Maintain the HSPB calendar schedule for the Director and office staff. The contractor shall provide appointment dates, times, and room numbers to Director and staff and record on the office calendar within four hours of receipt of reservation confirmation. Arrange meetings and reserve bridge lines for conference calls. No more than four scheduling errors per year are acceptable.
- Provide support for monthly IRB meetings to include general administrative requirements such as preparing/participating in pre-meetings, setting-up and cleaning-up the meeting room on the day of the meeting, photocopying, note-taking, shredding of sensitive documents, and filing of human subjects research protocols. No more than one complaint per year is acceptable.
- Prepare and submit orders for supplies to include stocking/tracking office supplies to ensure sufficient materials are available for the HSPB. Maintain a tracking system of supplies needed and ordered to reduce waste and spending. No more than two missed supply orders per year are acceptable
- Monitor office equipment for functionality and requesting service/maintenance as needed. No more than two missed repair requests per year are acceptable.
- Escort new contractor personnel during mandatory onboarding until new contractor personnel receive ID badge and/or CAC.
- Attend applicable WRAIR/USAMRDC trainings and meetings (e.g., GFEBS/purchasing, logistics, travel/DTS) to ensure administrative support provided adheres to current guidance, SOPs, and policies being communicated.

Citizenship: Must be a US citizen
Clearance: NACI (Ability to Obtain)
Years of Experience: Five years of office management
Education: High School Diploma

- Demonstrated ability to manage supplies
