The Administrative Paralegal performs a variety of specialized administrative tasks and provides paralegal support to one or more timekeepers. Responsibilities include maintaining calendars, scheduling meetings, and proactively managing attorney assignments.
Responsibilities :
- Manage complex schedules for attorneys, including coordinating meetings, teleconferences, networking events, and court appearances.
- Oversee the new client / matter intake process, ensuring thorough and timely completion of all required documentation.
- Implement and maintain efficient systems for organizing and managing both paper and electronic client files, pleading binders, and case documents.
- Serve as a primary point of contact for clients, handling communications professionally via phone, email, and in-person interactions.
- Process and monitor financial documentation, including expense reports, credit card reconciliations, and reimbursement requests.
- Prepare, file, and serve court documents through various channels, including mail, electronic court e-filing systems, and PACER CM / ECF.
- Conduct thorough proofreading and review of motions, briefs, and other legal documents prior to submission to ensure accuracy and compliance with court requirements.
- Draft routine legal documents, including one-page motions, proposed orders, certificates of service, entries of appearance, transmittal affidavits, verifications to complaints, and professional correspondence.
- Maintain strict confidentiality of all client and case information, adhering to ethical standards and firm policies.
- Stay current with legal procedures, court rules, and filing requirements, adapting processes as necessary to ensure compliance.

Physical Requirements : Involves prolonged periods of sitting and computer use, as well as standing, walking, and using hands. Tasks require strong visual abilities and effective oral communication skills.
