The Administrative Paralegal performs a variety of specialized administrative tasks and provides paralegal support to one or more timekeepers. Responsibilities include maintaining calendars, scheduling meetings, and proactively managing attorney assignments.

Responsibilities :

  • Manage complex schedules for attorneys, including coordinating meetings, teleconferences, networking events, and court appearances.
  • Oversee the new client / matter intake process, ensuring thorough and timely completion of all required documentation.
  • Implement and maintain efficient systems for organizing and managing both paper and electronic client files, pleading binders, and case documents.
  • Serve as a primary point of contact for clients, handling communications professionally via phone, email, and in-person interactions.
  • Process and monitor financial documentation, including expense reports, credit card reconciliations, and reimbursement requests.
  • Prepare, file, and serve court documents through various channels, including mail, electronic court e-filing systems, and PACER CM / ECF.
  • Conduct thorough proofreading and review of motions, briefs, and other legal documents prior to submission to ensure accuracy and compliance with court requirements.
  • Draft routine legal documents, including one-page motions, proposed orders, certificates of service, entries of appearance, transmittal affidavits, verifications to complaints, and professional correspondence.
  • Maintain strict confidentiality of all client and case information, adhering to ethical standards and firm policies.
  • Stay current with legal procedures, court rules, and filing requirements, adapting processes as necessary to ensure compliance.

Litigation-Specific Responsibilities :

  • Ensure all litigation case files are maintained according to attorney protocols and case management systems.
  • Assist in managing large litigation databases.
  • Participate in preparation for depositions, court proceedings, and trials.
  • Create and organize materials for hearings, such as casebooks and briefing binders.
  • Other duties, as assigned.
  • Requirements :

  • Proactive work style with strong analytical skills needed for reading, researching, reviewing, verifying, and routing correspondence, reports, and legal documents.
  • Ability to work well independently as well as effectively within a team.
  • Exceptional organizational skills with the ability to manage multiple tasks and meet deadlines.
  • Excellent production skills, capable of producing accurate work when transcribing, formatting, inputting data, editing, copying, scanning, and transmitting text, data, and graphics.
  • Excellent verbal and written communication skills, with a strong attention to detail.
  • Ability to analyze and synthesize information from various sources and present findings clearly.
  • High level of professionalism, integrity, and discretion in handling confidential information.
  • Qualifying Experience :

  • Bachelor's degree or equivalent experience; Paralegal certification preferred.
  • 3 years of experience as a paralegal or legal administrative assistant working in general litigation in a law firm or professional services setting. The administrative paralegal will assist during all phases of the litigation process, from initiation of a case to the discovery period, through trial.
  • Strong understanding of legal terminology, procedures, and documentation; familiarity with state and federal court systems.
  • Familiarity with U.S. District Court and Federal Court filing systems is preferred.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook), legal research tools and document management systems.
  • Strong research skills and proficiency in using various research tools, including the Internet, Westlaw, LexisNexis, PACER, E-filing and other court-related websites.
  • Strong production skills, with the ability to produce accurate work products when formatting documents, inputting data, editing, copying, scanning, and transmitting text, data, and graphics. An understanding of Microsoft Word Styles functionality is required.
  • Demonstrated ability with complex court filings in both paper and electronic (e-filing) formats.
  • Physical Requirements and Work Environment

    Physical Requirements : Involves prolonged periods of sitting and computer use, as well as standing, walking, and using hands. Tasks require strong visual abilities and effective oral communication skills.

    Work Environment : Typical office environment, the noise level in the work environment is usually moderate.
