What are the responsibilities and job description for the Financial Associate position at Ohio Department of Developmental Disabilities?
Under general supervision of Business Admin 3, analyzes & processes expense reports, invoices, remittances for receipt & disbursement of funds, timekeeping documents & other related materials. Determines accuracy & validity & prepares vouchers, checks, cash for disbursement of funds (e.g. verifies mathematical accuracy, quantity of goods purchased & received, price of goods, reconciles discrepancies, checks for appropriate signatures, verifies appropriation sources, matches invoices to remittances for receipt & disbursement of funds, delivery receipts & purchase orders, transfer & enter correct information to appropriate forms via computer or typewriter, etc.), &/or prepares purchase orders & encumbrances manually & electronically.
Post, updates & balances ledgers for internal accounts (e.g. posts purchase orders & payable vouchers, encumbrance documents, cancellation, modifications & cash disbursements), reviews appropriate OAKS/QuickBooks/Excel/Ledger to determine status of posting & follow-up with State accounting or center administration when discrepancies arise. When invoices/payroll document/remittance for receipt & disbursement of funds are inaccurate, prepares letters & other correspondence necessary for follow-up and/or administration of duties
Processes accounts (i.e. Client funds, I&E, Payment Card, Petty Cash) (e.g. posts, update & balance ledgers, etc.), match invoices, disbursement request and receiving reports to purchase orders, receive & disburse funds, reconcile & verify balances, write checks & obtain appropriate signatures on required documents.
Performs a variety of related clerical tasks (e.g. open & sort incoming mail, maintains files related to all areas of responsibility, operates equipment to generate typed/computer reports, meets, greets, and responds to both internal & external customers, answer inquiries via phone, written or in person, etc.). Attend various trainings & train employees on procedures related to Business Office operations (e.g. client funds). Other related duties as may be necessary within the Business Office.
18 mos. exp. or 18 mos. trg. in accounting &/or finance to include a basic level of experience in spreadsheet software.

- Or completion of high school technical program in accounting; 6 mos. exp. or 6 mos. trg. in accounting or finance to include a basic level of experience in spreadsheet software.
- Or completion of associate core program in business administration, accounting, finance or related field.
- Or equivalent of Minimum Class Qualifications for Employment noted above.
