The Medical Receptionist is responsible for the courteous and prompt processing of patients in the waiting area. The Medical Receptionist is responsible for answering all incoming telephone calls and directing the calls to the appropriate personnel. The Medical Receptionist will be cross trained in other functions of the Physician Office. The Medical Receptionist reports directly to the Clinical Coordinator.

- Admission/Registration of patients.
- Verifies the accuracy and completeness of patient clinical, demographic and insurance information upon admission of the patient. Enters corrected patient information into the medical software system at the time of admission.
- Interacts and assists patients in waiting rooms; rounds to clinical areas as needed.
- Communicates patient and/or procedure delays to the appropriate person.
- Requests the patient or legal guardian read the Patient’s Bill of Rights and Responsibilities.
- Protects patient confidentiality and dignity by concealing patient information; and keeps discussion of a patient’s procedure(s) to a tone discernable only to the patient/legal guardian.
- Maintains an orderly and secure system for storing patient charts at the front desk.
- Records and reconciles daily all monies collected at the front desk.
- Always maintains a presence at the front desk except for lunches and breaks.
- Retrieves and forwards general mailbox messages to the appropriate personnel.
- General management of the telephone system. Deactivating after hours answering service/night ring; activating after hours answering service/night ring; and, ensuring the after hours/emergency message is correct and activates.
- Establishes and maintains patient files.
- Retrieves patient’s medical records upon request of the Patient or medical provider. This includes printing reports, burning CD’s, and having the patients sign a medical release and scan into their chart.
- Ensures that the lobby is cleaned up daily.
- Assists the Clinical Coordinator with duties such as making reminder calls, sending reports or any other duties the Clinical Coordinator needs help with.
- Assisting with other duties as directed by the Clinical Coordinator. Including registration/scheduling efficiency, assisting with the goal of 0 patients waiting/no calls holding, and leading the concierge service.
- Other duties as assigned.
QUALIFICATIONS:
- Experience in high volume/high stress environment, which demonstrates ability to multitask.
- High school graduate required. Associates Degree preferred.
- Demonstrated ability to type 45 wpm.
- Comprehension of medical terminology.
- Minimum one (1) year receptionist experience in an ambulatory surgery facility, acute-care hospital, or doctor’s office.
- Must have experience using scheduling software.
- Must have experience using Windows or NT.
- Excellent communication skills.
- Competency in oral and written skills.
- Ability to prioritize and complete tasks in a timely manner.
- Ability to perform multiple tasks simultaneously.
- Must be able to work under pressure.
