Role: Executive Assistant
Essential Functions:
- Demonstrate the values and guiding principles of OhioGuidestone every day, performing with the highest standards of excellence, integrity and ethics.
- Provide administrative support to CEO and executive team members including, but not limited to: processing incoming and outgoing communication (i.e. phone, email, letters); managing calendars; scheduling meetings; producing required correspondence, reports, spreadsheets, meeting minutes, and all other related documents.
- Plan and coordinate travel logistics, including flights, accommodations, and transportation for executive team.
- Build relationships with and support board members as necessary to ensure effective agency-wide interactions.
- Prepare for executive team meetings by sending invitations, organizing agendas, and ensuring all necessary materials are available.
- Take detailed meeting minutes for executive team and Board meetings and ensure they are distributed to the appropriate parties in a timely manner.
- Follow up on action items from meetings to ensure completion and accountability.
- Schedule and coordinate Board of Directors/Committee meetings, including virtual and in-person logistics; collect, assemble, and distribute meeting materials to necessary parties in advance, ensuring all information is accurate and up to date.
- Manage materials and communication that is facilitated through Board of Director portal.
- In conjunction with legal and compliance departments, ensure that corporate governance requirements are met, including the filing and management of board resolutions and other documents.
- Prepare and process expense reports as requested, ensuring timely submission and compliance with company policies.
- Assist in managing or coordinating special projects or departmental initiatives, as requested by the executive.
- Assist in planning and coordinating events, conferences, and meetings, both internal and external.
- Maintain inventory of needed office supplies, placing orders, organization of supply area.
- Ensure appropriate maintenance of office equipment when necessary.
- Ensure confidentiality and proper handling of sensitive information.
- Exhibit positivity, flexibility and a willingness to take on new responsibilities as requested or required.
- Demonstrate positive leadership, promote a team-based work environment and present the agency in the most positive light with all internal and external contacts.
Education & Experience:
- Bachelor’s degree or equivalent work experience preferred.
- 5 years of experience in an administrative or executive support role, with at least 1-2 years of experience managing board meetings and corporate governance.

- Effective interpersonal skills; able to speak effectively with individuals and/or groups of people
- Ability to customarily and regularly exercise discretion and good professional judgment
- Flexible; able to work days, evenings, and/or weekends, as desired to meet the needs of CEO and executive team.
- Strong organizational skills; able to handle multiple priorities with strict attention to detail and perform work independently.
- Effective computer literacy skills, including Windows applications and Microsoft Office Suite, etc.
- Possess a valid Ohio Driver’s License with a safe driving record and valid insurance.
- Successfully meet pre-employment drug screen and background requirements.
