ACCOUNTING SUPPORT SPECIALIST
OKLAHOMA CITY, OK
In our organization, the Accounting Support Specialist has a critical and challenging role in helping achieve innovation and meeting our commitments by performing accounting functions, including but not limited to accounts receivable, customer billing and communications, record maintenance, analysis and report generation, and assistance with month end close process while under the direct supervision of the Controller.
Essential Duties and Responsibilities
- Ensure timely processing for customer invoices.
- Maintain complete and accurate customer master records including but not limited to shipping and billing addresses, customer contact information, and sales tax exemption status.
- Responsible for local accounts receivable functions including but not limited to customer communications to ensure timely account payments, resolution of customer account disputes, assistance with customer credit status and limit reviews, and generation of aging and other reporting as needed.
- Responsible for regular maintenance of standard cost updates and work order reviews.
- Contribute to month end close process including journal entry preparation, account reconciliations, variance analysis, and reporting.
Other Duties and Responsibilities
- Ensure accounts receivable records are accurate, complete, and properly stored according to established departmental procedures.
- Work with cross functional teams to resolve customer credit issues that may affect customer deliveries.
- Assist Accounting Leadership in the administration of the accounting function including scanning, filing, copying, compiling documentation, and administrative support.
- Maintain sensitive and confidential information with utmost privacy.
- Effectively and efficiently use time to safely perform duties.
- Complete all paperwork in required manner and time.
- Demonstrate a willingness to learn to produce new products, use new procedures, and embrace and support change.
- Follow and support established HSE programs.
- Report any unsafe situations to appropriate Management Team member if necessary.
- All other duties or tasks as assigned.
Knowledge, Skills, Abilities
- Ability to perform a high volume of numerical work with near 100% accuracy on an ongoing basis.
- Ability to effectively and efficiently use accounting equipment such as a 10-key.
- Knowledge of Accounts Receivable practices and accounting concepts.
- Excellent mathematical skills.
- Ability to follow detailed and complex instructions.
- Demonstrated working knowledge of MS Office: Excel, Access, Word.
- Ability to establish and maintain constructive working relationships with people.
- Strong problem-solving and analysis skills.
- Ability to manage multiple tasks and projects daily in a fast-paced manufacturing environment.
- Ability to speak, write and read English.
- Able to work independently or as part of a team on a broad variety of projects.
- Willingness to work additional hours to meet tight deadlines.
Qualification Requirements
- High School Diploma, GED, or equivalent.
- Two (2) years of Accounts Receivable, Accounts Payable, or general bookkeeping experience. Preferably in a fast paced, highly transactional manufacturing environment.
Physical Requirements
- Ability to lift and carry up to 30 lbs.
- Extended sitting.
- Periodic walking and/or standing.
Tools and Equipment Used
- Extended use of computer equipment to include but not limited to laptop computer, monitors, keyboard, mouse, scanner, printer, phone, and 10 key.
- Extended use of company designated software programs to include but not limited to ERP, employee time tracking software, and office productivity software packages.
