We are seeking a detail-oriented Administrative Assistant to support our Housing Operations team. This position requires strong communication and organizational skills. Also plays a crucial role in customer service.
The Administrative Assistant will provide administrative support to the Facilities Operations team, including answering phones, responding to emails, and greeting visitors. This role will also be responsible for coordinating and tracking maintenance requests, repairs, and work orders using computerized maintenance management system modules in Star Rez. Additionally, the person in this role will schedule meetings, appointments, and keep residents informed on maintenance activities when needed.
The ideal candidate will be highly organized and should be comfortable working in a fast-paced environment. The office may handle significant phone call activity and conversations. The candidate should be comfortable working in a lively setting and can remain focused on their tasks.
Key Responsibilities
Process and manage resident documentation in Star Rez for work orders and maintenance requests.
Respond to e-mails and reply in a timely and professional manner.
Able to identify the difference between an emergency, an urgent matter, and routine situations while being able to respond accordingly.
Serve as the first point of contact for resident inquiries and maintain excellent customer service standards.
Coordinate with maintenance staff, property managers, and vendors to ensure timely resolution of facility issues
Schedule and coordinate team meetings, property inspections, and maintenance appointments

Ability to lift and move up to 15 pounds
Excellent organizational and time management abilities
Outstanding written and verbal communication skills
Preferred Qualifications:
Associate degree
At least two years of administrative experience in property management, office management, or similar field
Experience working with the public in a customer service environment
Experience in student housing or multi-family residential property management
Knowledge of StarRez Housing System
