Office Administrator
Facility: Oliphant Golf Management Corporate Office
Summary:
We are looking for an Office Administrator for golf course construction. Duties include processing and submitting customer invoices, processing accounts payable and receivable, and processing payroll. Ultimately, the Office Administration Administrator's responsibilities are to offer accounting and office support for the Director of Accounting and for the Golf Course Superintendent
Skills, expertise and traits:
- Excellent time management and diligence
- Meticulous record keeping, organization, and multi-tasking
- Proficient in QuickBooks and Microsoft Office, as well as time keeping and payroll processes
- Calm under pressure and able to handle stressful situations well
Responsibilities:
- Enters all approved invoices and due dates in accounting system turned in by all the various department heads and/or staff
- Collects and organizes all credit card receipts
- Completes customer invoices with back up detail
- Maintains 1099 documentation
- Responds to all vendor inquiries; reconciles vendor statements, researches and corrects discrepancies
- Sets up newly-hired employees in payroll software and maintains all employment records on current and past employees; processes any needed updates all employment-related forms
- Obtains & coordinates with the appropriate supervisory staff all employment payroll status changes for raises, vacation and sick time off requests
- Maintains, edits, and processes bi-weekly payroll
- Completes any needed “after payroll” reporting and tracking
- Arranges all necessary housing for construction teams on site, whether short or long term
- Assists with other projects and field support as needed
