JOB SUMMARY:
The Office Administrator provides essential administrative support to the Senior Pastor and Executive Director. Key duties include managing communications, handling calendars, coordinating vendors, processing expense reports, conducting data research, and maintaining records.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Provide clerical and administrative support, including answering/directing inquiries received via phone, mail, email, and in person. Draft and send emails on behalf of supervisor.
- Maintain the church office budget, and manage office supplies and equipment
- Track calendars and coordinate meeting times and places.
- Maintain the church calendar, communicate facility requests, and coordinate internal communication for facility use.
- Produce and process payment approvals, track and reconcile monthly department budgets.
- Take minutes at meetings, perform research, develop reports, and prepare documents and spreadsheets as directed.
- Update and maintain data. Including but not limited to Shelby Church Management Software, church attendance, new database entries, decisions for Christ, church membership, mass email platforms, serve teams, first-time guests, goals, discipleship pathways, and other key metrics/reports.
- Coordinate Senior Team travel plans.
- Collect and communicate church prayer requests to staff, volunteers, and Elders.
- Coordinates schedule for the weekend lock-up/Manager on Duty.
- Edit and post updated sermon outlines, discussion questions, and other content related to Senior Pastor's sermon preparation.
- Ensure the cleaning crew has an updated church calendar, highlighting special/abnormal/startup activities.
- Annually update church attendance on Lifeway and Southern Baptist profiles.
- Manage and maintain records of the issuance of keys to staff and volunteers.
- Update room usage signs.
- Supports and participates in events and activities as requested by supervisor.
- Performs other duties as assigned.
EDUCATION and/or EXPERIENCE REQUIRED:
- Associate degree strongly preferred.
- 3-5 years of administrative assistant experience.
- Strong computer skills, with excellent proficiency in Outlook, Word, Excel, and Teams.
- Able to type 60 words per minute.
- Highly developed communication (written and verbal), time management, and collaboration skills.
