Summary/Objective
The Reception & Administrative Assistant (Part-Time) serves as the first point of contact for all visitors and phone inquiries at Olympia’s corporate office. This role ensures a warm, professional, and organized front desk experience while providing light administrative support to the HR team and internal departments. This individual manages lobby operations, facilitates communication flow, and contributes to smooth daily office functions.
Key Responsibilities
- Greet and assist all visitors, employees, candidates, and vendors with professionalism and courtesy.
- Answer, screen, and route incoming calls; respond to general inquiries and ensure timely follow-up.
- Serve as the first point of contact for customer pickups at headquarters, coordinating with the fulfillment team and providing clear, friendly instructions to ensure a seamless, customer-first experience.
- Manage the corporate mailroom process including incoming and outgoing packages, internal distributions, and deliveries.
- Perform administrative support functions such as scanning, copying, printing, and document distribution.
- Maintain front desk and supply areas in a clean, organized, and fully stocked condition.
- Support HR and other internal teams with ad hoc administrative projects and event preparation.
- Assist with tracking and reporting of various HR and people analytics.
- Serve as liaison between HR, employees, and IT support when changes are made to an employee’s work status (e.g., location, role, access).
- Assist with communication postings, office signage, and coordination of meeting logistics as needed.
- Provide backup support for scheduling, onboarding materials preparation, and employee communications.
- Help ensure office procedures are followed, especially related to guest access, security, and cleanliness.
Qualifications
- 1 year of experience in a receptionist, office assistant, or administrative support role.
- Friendly and approachable demeanor with strong interpersonal communication skills.
- Detail-oriented and organized, with a proactive attitude toward task completion.
- Ability to manage sensitive information with confidentiality and professionalism.
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel); ability to learn new systems quickly.
- Reliable and punctual with a strong sense of responsibility and customer service.
Schedule
- Part-time, 27.5 hours per week
- Monday through Friday, 8:30 AM – 2:00 PM
- Based at Olympia’s corporate office in Pittston, PA
