Dock Shipping & Receiving Clerk

Location :  Franklin Park, IL (On-site at Olympia Food Industries Warehouse)

Schedule :  Monday – Friday, 7 : 00 AM – 4 : 00 PM (with a one-hour lunch break)

Starting Pay :  $18.00 – $20.00 per hour to start (based on experience, knowledge, and skills), with performance-based raises.

Position Overview

Olympia Food Industries, a food manufacturer with dry and frozen storage operations, is seeking a  Dock Shipping & Receiving Clerk  to support our warehouse team. The clerk’s primary focus is the accurate verification and recording of all inbound and outbound shipments using our ERP software. This is a clerical and coordination-focused role. The clerk works closely with the Warehouse Manager and Dock Supervisor to guide warehouse staff and coordinate daily dock activities. Key duties include monitoring warehouse traffic, ensuring shipments are documented correctly, and maintaining inventory accuracy. We seek a detail-oriented team player with strong organizational skills and the ability to learn our Enterprise 21 (E21) ERP system. Bilingual English / Spanish ability is  strongly desired  (but not required) for this role, and all training will be provided.

Key Responsibilities

  • Shipping & Receiving Coordination :  Verify and record all incoming and outgoing shipments in the ERP system, ensuring accuracy in product counts, codes, and documentation. Work with truck drivers on arrival / departure to confirm paperwork and resolve any discrepancies immediately.
  • Order Fulfillment :  Oversee the order picking and staging process for customer orders. Ensure picked products match the pick sheet (correct quantities and item codes), the proper lot numbers are selected and recorded, and pallets are loaded onto the correct truck or route.
  • Dock Operations :  Guide and direct forklift drivers and warehouse pickers on daily priorities and tasks to keep operations running smoothly. Manage dock traffic by assigning trucks to bays and coordinating loading / unloading schedules, maintaining a safe and efficient flow of vehicles. Ensure outbound trailers are properly sealed and seal numbers are recorded to maintain shipment integrity.
  • Inventory Management :  Assist in maintaining accurate inventory levels. Conduct regular cycle counts and inventory audits of warehouse stock, and help investigate any discrepancies. Ensure first-in / first-out (FIFO) rotation of inventory at all times to preserve product freshness.
  • Documentation & ERP Data Entry :  Maintain reliable record-keeping for all warehouse movements. Complete all shipping and receiving paperwork (e.g. bills of lading, pick lists, receiving tallies) promptly and  enter data into the ERP system  in real time to ensure inventory records are up-to-date. Before releasing any outbound truck, verify that the order is closed out properly in the system with all required information recorded.
  • Team Support & Training :  Work as a liaison between management and the warehouse crew. Assist the Warehouse Manager and Dock Supervisor in training new dock staff and providing daily guidance to material handlers, pickers, and forklift operators. Ensure that all team members understand their tasks and follow standard operating procedures, offering help or correction as needed.
  • Cross-Department Communication :  Coordinate with other departments to maintain smooth operations. Communicate with  Maintenance  if any equipment or machinery needs attention, with  Quality Assurance  if any product or ingredient packaging is damaged or compromised, and with  Sanitation  for prompt cleanup of spills. Facilitate cooperation across departments so that issues are resolved quickly and shipments stay on schedule.
  • Safety & Compliance :  Monitor all dock and warehouse activities for safety and compliance. Enforce all safety rules and  Olympia Food’s GMPs (Good Manufacturing Practices)  on the dock (e.g. proper attire, hygiene, and equipment use). Ensure that food safety standards (including HACCP and SQF protocols) are strictly followed during handling of products. Report any unsafe conditions or behaviors immediately to supervision, and help implement corrective actions.
  • Warehouse Organization :  Maintain a clean, organized dock and warehouse area. Make sure aisles, dock doors, and exits remain clear of obstructions and that products are stored in their designated locations. Uphold sanitation standards by addressing spills or waste promptly and keeping the work area inspection-ready.
  • Additional Duties :  Perform other duties as assigned by the Warehouse Manager or as needed to support the warehouse team and logistics operations.

Qualifications

Required :

  • Education :  High School Diploma or GED.
  • Experience :  Previous experience in shipping / receiving or warehouse operations. (Experience in a  food manufacturing  or cold-storage warehouse environment is a plus but not required.)
  • Technical Skills :  Basic arithmetic and math skills for inventory counts and shipping calculations. Proficiency with computers and experience using an ERP (Enterprise Resource Planning) system for inventory or order tracking. (Training will be provided on Olympia’s  E21 ERP  system, but candidates should be comfortable learning new software.) Familiarity with Microsoft Office tools (Excel, Outlook, Word) for email and basic record-keeping.
  • Communication :  Clear oral and written communication skills in English are essential. Ability to read and fill out shipping paperwork accurately and communicate with truck drivers and team members.
  • Organizational Skills :  Strong attention to detail and ability to stay organized in a busy environment (the clerk must keep track of multiple shipments and tasks without errors). Good time-management to prioritize work and meet deadlines (e.g. ensuring trucks are loaded on time).
  • Teamwork :  Positive, cooperative attitude and  interpersonal skills  to work effectively with co-workers and supervisors. Able to guide others informally and contribute to a friendly, productive work environment.
  • Physical Requirements :  Ability to stand and walk on concrete warehouse floors for extended periods during the shift. Must be able to lift and move up to 40 pounds unassisted, and perform frequent bending, reaching, climbing on step-stools or ladders, and other physical tasks. Good vision (with or without corrective lenses) to read labels and monitor operations, and good hearing to stay aware of moving equipment.
  • Environment Adaptability :  Comfortable working in varying temperature zones –  refrigerated areas around 40°F and freezer areas as low as -10°F  as needed. Proper cold-weather gear and protective equipment will be provided. Able to work around industrial equipment and truck traffic safely by maintaining awareness of surroundings. Willing to follow all company safety rules and food safety regulations, including strict hygiene and dress codes.
  • Compliance :  Willingness to adhere to Olympia Food Industries’ Good Manufacturing Practices. This includes following our strict no-jewelry / no-phone policy in production & work areas and wearing required personal protective equipment at all times. Candidates must be committed to maintaining a safe and sanitary work environment.
  • Preferred :

  • Bilingual in  English and Spanish , to effectively communicate with a diverse workforce and truck drivers is strongly desired, but not required.
  • Experience with  Enterprise 21 (E21) ERP  software (or similar inventory management systems).
  • Experience in a  food manufacturing  or food distribution warehouse setting, especially dealing with frozen / refrigerated products (industry experience is a plus).
  • Knowledge of warehouse inventory control practices – for example, experience with cycle counting, lot tracking, and  FIFO  stock rotation.
  • Familiarity with material handling equipment and warehouse vehicles. Prior forklift operation experience or certification is a plus (e.g. having a lift truck license is  highly desired ).
  • Flexibility to work occasional overtime or adjust work hours during busy periods if needed (e.g. to complete late shipments or assist with end-of-day closing).
  • Work Environment

    This position is in a food manufacturing  warehouse environment  and involves working both in an office on the warehouse floor and in the dock / warehouse areas :

  • Temperature :  Conditions can range from normal room temperature in the office to refrigerated cold rooms (around 40°F) and freezer storage (down to -10°F). Employees must dress appropriately for cold conditions and use company-provided protective gear when working in freezer areas.
  • Equipment & Traffic :  The docks and warehouse have frequent forklift and semi-truck traffic. The clerk will be working in proximity to moving equipment and vehicles, so a keen awareness of surroundings and adherence to safety protocols is required at all times. Proper training and PPE (such as high-visibility vests and hearing protection) will be provided.
  • Cleanliness & Safety :  Olympia Food Industries maintains a clean facility governed by strict food safety standards. All employees must follow sanitation guidelines and Good Manufacturing Practices – for example, no loose jewelry or personal electronic devices are allowed in work areas. The Dock Clerk is expected to help maintain this cleanliness and order, and to always uphold food safety, quality, and safety standards in the work area.
  • Physical Setting :  The work is performed indoors on concrete floors. There may be some exposure to loud noises from machinery and to outdoor temperatures when bay doors are open. The overall environment is team-oriented and fast-paced, but safety and cleanliness are never compromised.
