Position Overview
The Project Administration Coordinator ensures the efficient operation of the Office of Project Planning and Construction by performing a wide range of administrative tasks related to correspondence, filing, calendar management, work coordination, fielding of questions, information gathering, and data entry.
The Project Administration Coordinator establishes office procedures, implements policies and procedures, maintains efficient workflow, resolves day-to-day operational problems, organizes, expedites, and follows up on projects, and coordinates information flow by acting as liaison among executives, staff, and other employees.
This position reports to the Manager, Project Administration
Duties and Responsibilities
The Project Administration Coordinator performs many support tasks for the Office of Environmental, Planning, and Construction.
Regular duties include, but are not limited to:
- Track and coordinate assignments.
- Set up and manage paper and electronic filing systems
- Use various information technology applications such as email, database, spreadsheets, and word processing applications.
- Operate office equipment such as printers, scanners, and copiers.
- Create, maintain, and enter information into spreadsheets and databases.
- Maintain scheduling and event calendars.
- Complete forms in accordance with office procedures.
- Compose, type, and distribute meeting notes, correspondence and reports.
- Review work done by others to check for correct spelling and proper grammar, ensure that office format policies are followed, and recommends revisions.
- Manage projects or contribute to committee or teamwork.
- Mail various items including letters and reports.
- Order and distribute supplies.
- May take meeting minutes.
- Track and execute document and contract renewals.
- Assist in maintenance of departmental system of accounts.
- Assist in organization of capital construction and rehabilitation projects.
- May attend meetings relative to departmental fiscal affairs.
- May assist in review of payment requests.
Skills and Preferred Qualifications:
High school diploma or high school equivalency diploma and minimum of two years of experience in administrative support, which includes use of office software (email, word processing, etc.), provision of customer service, business writing, and management of an office.
Salary Range and Benefits:
The hiring range for this specific position is $56,000 - $62,000 per year. Final offer will be within the hiring range and will be dependent on qualifications and experience.
