Office Assistant
Job Title: Office Assistant - Education
FLSA Status: Non-exempt
Hours: Full-Time (Tuesday - Friday 7:00 am to 4:00 pm and Saturday 8:00 am to 5:00 pm)
Summary:
The Office Assistant in the Education Department supports the team by providing administrative and clerical assistance to ensure the smooth execution of educational programs, events, and activities. This role involves coordinating schedules, managing communications, maintaining records, and supporting staff in delivering educational initiatives that support the Zoo’s mission. This position reports directly to the Office Coordinator.
Duties and Responsibilities (include but not limited to):
- Administrative Support
- Manage communications, including answering phones and responding to emails, with a focus on inquiries related to educational programs.
- Assist Office Coordinator with duties as assigned.
- Clerical Duties
- Maintain accurate attendance records and report daily student absences to school districts.
- Assist with keeping inventory of all office supplies and equipment.
- Program Assistance
- Collaborate with educators to ensure they have the resources needed for daily activities.
- Schedule and confirm bookings for school trips, workshops, and other education programs.
- Monitor all entrances into the buildings and supervise visitors.
- Visitor Interaction
- Greet program participants including schools, families, and other groups.
- Provide basic information about programs and help guests with registrations.
- Handle inquiries and address minor concerns in a professional manner.
Education:
- High school diploma or equivalent required
- An associate degree or coursework in education, biology, or a related field is a plus.
Experience:
- Previous experience in office administration, customer service, or a related field.
- Experience in an educational or nonprofit setting is highly desirable.
Knowledge, Skills and Abilities:
- Proficiency in Microsoft Word, Excel, PowerPoint, and other computer programs.
- Strong organizational and multitasking abilities.
- Excellent written and verbal communication skills.
- Working knowledge of setting up and troubleshooting AV equipment, cameras, laptops, iPads, printers, and copiers.
- Must be able to work in a fast-paced environment.
- Interest in wildlife conservation and education.
- Ability to work collaboratively in a team-oriented environment.
- Attention to detail and ability to prioritize tasks effectively.
- Positive and professional attitude when interacting with diverse groups of people.
- Must be able to pass a drug screen, background check with a good driving record.
Working Conditions:
- While primarily normal business hours, extended hours, including weekends, holidays, and night programs, may be necessary.
- Must be able to travel long distances across the Zoo. Will move between multiple venues and work areas.
- This position works primarily in an indoor environment; however, some responsibilities may require outdoor work in varied weather conditions.
- Physical effort may be required.
