Job Summary
As a Medical Receptionist at Central Florida Eye Clinic, our growing ophthalmology practice, you will help to deliver high-quality patient care and administrative support to our team. Responsibilities include managing the schedule, checking patients in and out, documenting and keeping the most up-to-date information in our electronic health record system, answering and following up with phone calls or taking messages, checking patient balances and taking payment, and other administrative tasks as assigned. *Bilingual* communication skills, specifically in Spanish, are a must. Eligible candidates must be able to multitask, must have an outstanding work and attendance history, must be attentive to detail, open to learning new things, and capable of working independently. Must travel to our second location for full-time hours, with advance notice of days, so *reliable transportation* is a must. You will also be cross-trained as a medical assistant. Duties and Responsibilities:
- Greet patients and visitors in a friendly, professional manner and conduct check-in and check-out processes efficiently
- Review patient documentation for accuracy and completeness, including medical histories, registration, and consent forms
- Scan, upload, and organize patient documents, reports, and correspondence to appropriate categories
- Update EHR with accurate and up-to-date patient demographic, insurance, and financial information
- Verify account balances or refunds for accuracy and provide information to patients regarding unpaid balances
- Collect all current and past-due patient responsibility balances (e.g., copayment, deductible, coinsurance, self-pay balances, retail products, bad debt balance) prior to services being rendered and enter correctly into EHR
- Maintain cash drawer and reconcile payments posted to patient accounts on a daily basis
- Coordinate with clinical staff and keep track of patients to ensure smooth office flow
- Check out all patients as per the terms of their insurance company rules, verifying diagnostic testing/procedures performed with medical assistant, ensuring charges are entered in EHR system, and copays have been collected
- Check schedules throughout the day for added, canceled, and no-show appointments to ensure optimal utilization of provider time and that patients who need emergent appointments can be added as available
- Schedule, confirm, and reschedule patient appointments according to established policies, ensuring accurate information is obtained and entered into the system
- Follow up on patient’s phone calls and voicemails, taking messages for clinical staff and patient call backs
- Address patient inquiries, complaints, and provide assistance as needed
- Document phone calls and patient interactions in EHR
- Assist with obtaining necessary authorizations and referrals prior to appointments
- Enter new referrals into the EHR system
- Handle administrative tasks such as scanning, copying, faxing, and mailing
- Perform opening/closing duties, maintaining a clean, organized front office and waiting area throughout the day, keep track of office supplies and inventory
- Adhere to HIPAA privacy laws and maintain confidentiality at all times
- Perform other related duties as directed or assigned
- Cross-training to cover medical assistant may include: calling patients from reception and escorting them to exam rooms, entering patient medications, prior medical history and reason for visit into EMR, performing select diagnostic testing, documenting/scribing patient’s exam and plan including follow up in EMR as directed by physician, and cleaning and preparing exam rooms between patients
