Key Responsibilities :
Provide administrative support to financial advisors and leadership to ensure smooth operations.
Manage calendars, schedule appointments, and coordinate meetings to maintain efficiency.
Greet and assist clients, visitors, and business partners with a professional and welcoming approach.
Handle data entry, document preparation, and file organization while maintaining compliance with company policies.
Assist with email management, phone communication, and correspondence on behalf of advisors and team members.
Process and track client paperwork , ensuring timely completion and submission.
Utilize CRM and financial software platforms to update and maintain client records.
Support marketing and event planning by coordinating internal and external events.
Assist with basic bookkeeping tasks, expense tracking, and invoice processing as needed.
Proactively identify opportunities to improve office efficiency, streamline processes, and enhance client service .
Be adaptable to take on new responsibilities as the firm continues to grow.
Qualifications :
Education & Experience :
Associate’s or Bachelor’s degree preferred but not required.
1-3 years of administrative or office support experience, preferably in financial services, professional services, or a fast-paced business environment .
Technical Skills :
Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and cloud-based collaboration tools.
Experience with CRM software, scheduling tools, and document management systems is a plus.
Comfortable learning and using financial planning or business software tools .
Soft Skills & Attributes :
Energetic, self-motivated, and proactive – eager to take initiative and grow.
Strong communication skills , both written and verbal, with a professional demeanor.
Excellent organizational and time management skills , with the ability to prioritize tasks effectively.

High level of attention to detail and accuracy in all tasks.
Other Requirements :
Must be able to work full-time, in-office at the firm’s Cincinnati, Ohio location .
