About Us:
We operate a dual-business structure consisting of a growing Managed Services Provider (MSP), OmegaCor Technologies, specializing in IT support and solutions, and a busy Meineke Car Care Center known for exceptional customer service and reliable auto repair. We are looking for a highly organized, adaptable, and detail-driven Bookkeeper/Administrative Assistant to support both entities in a dynamic, fast-paced environment.
Position Summary:
As the Bookkeeper/Administrative Assistant, you will work closely with ownership to manage day-to-day administrative, financial, and operational tasks across both businesses. This hybrid role requires someone with excellent multitasking abilities, strong communication skills, and a solid foundation in bookkeeping and administrative support.
Key Responsibilities:
Administrative Support (Both Businesses)
- Manage calendars, appointments, and correspondence for owner.
- Coordinate meetings, prepare agendas, and track action items.
- Maintain digital and physical filing systems.
- Serve as liaison between ownership and staff, vendors, or clients.
- Handle confidential business and HR-related documents with discretion.
- Monitor and order office/shop supplies, manage vendor relationships.
Bookkeeping (Meineke)
- Retrieve weekly cash receipts and make bank deposits.
- Maintain full-cycle bookkeeping, including accounts payable, accounts receivable, and payroll.
- Ensure compliance with US GAAP accounting principles and industry best practices.
- Reconcile accounts (bank and credit cards) and investigate discrepancies.
- Process and file necessary reports to federal, state, and local agencies related to licenses, fees, and filings.
- Prepare ad-hoc reports for various needs, including financial, administrative, and human resources.
- Coordinate with CPA to generate documentation for tax filings.
Bookkeeping (OmegaCor)
- Maintain full-cycle bookkeeping, including accounts payable and accounts receivable.
- Monitor accounts receivable balances and follow up on outstanding balances.
Qualifications:
- Proven experience as an Executive Assistant, Bookkeeper, or Office Manager.
- Must be proficient in using QuickBooks.
- Highly organized with strong time-management and multitasking skills.
- Strong written and verbal communication.
- Proficiency with Microsoft Office 365.
- Ability to work independently, maintain confidentiality, and adapt to two business environments.
- Prior experience in IT, automotive, or small business environments is a plus.
