We are looking to hire a great team player; well-organized with great attention to detail and follow law office regulations. As a Client Relations/Intake Specialist, you will be our first point of contact for our firm. Our Client Relation’s duties include a variety of administrative tasks. You will welcome clients, coordinate front-desk activities, such as scheduling, scanning, processing incoming documents, and communicating with other law offices and Court personnel. To be successful as a Client Relations/Intake Specialist, you should have a pleasant personality, as this is also a Clients Relations role. You should be able to deal with emergencies in a timely and effective manner while streamlining office operations. Multitasking and stress management skills are essential for this position. Ultimately, a Client Relation’s duties and responsibilities are to ensure the front desk welcomes potential and existing clients positively, and executes all administrative tasks to the highest quality standards.
Responsibilities
Greet and welcome clients as soon as they arrive at the office
Answer incoming phone calls, emails, and texts
Schedule appointments
Receive and process payments
Ensure reception area is tidy and presentable at all times
Prepare intake forms and files for upcoming meetings
Provide basic and accurate information in person and via phone/email
Receive, sort, and distribute daily mail/deliveries
Report monthly needed office supplies and keep an inventory of stock
Update firm calendars and schedule meetings
Perform other clerical receptionist duties such as filing, photocopying, scanning, and faxing
Assist with various office chores
Skills
Initiative-taking to deliver high quality results and also work well within a team.
Excellent client service skills
Proficiency in Microsoft Office Suite
First-hand experience with office equipment (e.g., fax machines and printers)
Professional attitude and appearance
Solid written and verbal communication skills
Ability to be resourceful and proactive when issues arise
Excellent organizational skills
Multitasking and time-management skills, with the ability to prioritize tasks
High school degree.
