What are the responsibilities and job description for the Executive Assistant position at OMG Marketing?
About Me:
I’m a founder and CEO of three companies; while also navigating life as a new parent. I’m juggling a lot — calendars, teams, tasks, travel, personal life — and I need a true partner who can bring order to the chaos.
I don’t need someone who waits for direction — I need someone who can think, organize, anticipate, and take action.
Your Mission:
Free up my time and mental bandwidth by taking ownership of personal, business, and logistical tasks that slow me down — and help me stay focused on high-level decisions.
What You’ll Do:
Calendar & Scheduling
• Own my calendar across personal business life
• Schedule/reschedule meetings with zero conflict
• Block time for deep work, workouts, family time, etc.
Inbox & Follow-ups
• Flag urgent emails and summarize others
• Follow up with vendors, clients, or team members
• Organize inbox and reduce digital clutter
Task Life Management
• Keep a running list of tasks and to-dos across all areas of life
• Track what’s in progress, what’s overdue, what’s next
• Create structure where there is currently chaos
Personal & Family Logistics
• Schedule doctor visits, baby appointments, household maintenance
• Coordinate deliveries, online orders, returns, groceries
• Research personal services, gifts, events, etc.
Light Business Coordination
• Liaise with my companies (marketing, ops, team members)
• Keep track of projects, people, and priorities I’m juggling
• Send reminders or pre-drafted messages to help move things forward
⸻
What I’m Looking For:
• Highly organized, proactive, and reliable
• You anticipate needs — not just react to them
• Strong communicator (written verbal)
• You love making lists, creating systems, and checking things off
• You take ownership of problems until they’re solved
• Tech-savvy with tools like Google Calendar, Notion, Slack, etc.
• Discreet and trustworthy — you’ll be handling sensitive info
Bonus Points if You Have:
• Supported CEOs or business owners before
• Worked in fast-paced, high-output environments
• Experience in marketing, healthcare, or startups
• Familiarity with newborn/family scheduling
Role Details:
• Location: Remote, U.S.-based preferred (time zone alignment)
