The Rental Coordinator manages all aspects of the rental process, from inquiries to returns. They ensure smooth operations by coordinating with customers, tracking rental assets, maintaining records, and supporting the sales or rental team. The ideal candidate is highly organized, customer-focused, and can handle multiple tasks efficiently. This is a full time, direct hire position on site in Waterford, MI.
Key Responsibilities:
- Customer Service:
- Handle customer inquiries regarding rental services, availability, pricing, and terms.
- Assist customers in selecting the right equipment and accessories based on their needs.
- Provide accurate quotes and explain rental terms and conditions to customers.
- Address customer issues, complaints, or concerns to ensure satisfaction.
- Rental Coordination:
- Process rental agreements, reservations, and renewals.
- Coordinate delivery and pickup schedules, ensuring equipment or properties are available on time.
- Manage contracts, ensuring all terms are met and accurately recorded.
- Schedule routine maintenance, inspections, and repairs to ensure equipment or properties are in top condition.
- Inventory Management:
- Track the availability and location of rental assets.
- Maintain accurate records of rentals, returns, damages, and maintenance activities.
- Coordinate with maintenance teams to ensure all rental items are properly serviced and cleaned between rentals.
- Sales Support:
- Support the sales team by providing information on available rental items and assisting in up-selling or cross-selling services.
- Maintain and update pricing, promotional offers, and rental policies.
- Administration:
- Prepare and process rental paperwork including contracts, invoices, and receipts.
- Keep detailed records of rental transactions and customer communications.
- Assist in inventory audits and tracking utilization rates for all rental items.
Qualifications:
- High school diploma or equivalent (Bachelor’s degree in business or related field is a plus).
- Previous experience in customer service, sales, or rental coordination.
- Strong communication and interpersonal skills.
- Ability to multitask.
- Proficiency in MS Office Suite and familiarity with rental software (such as Rentman, Point of Rental, etc.).
- Organizational skills and attention to detail.
- Basic knowledge of the industry (construction, events, equipment rental, etc.) is preferred.
