Position Summary
As an Administrative Assistant II at Oncor, you’ll provide administrative assistance and support to the Claims and Legal organization.
Key Responsibilities
- Performs multiple duties, sometimes of a sensitive and/or confidential nature, utilizing available resources to ensure safe and efficient office organization.
- Ability to promptly respond to email request and any daily, monthly and annual job-related deadlines in an efficient manner.
- Review and assign property damage claims weekly to Claims Representatives.
- Promptly and professionally correspond with external contacts (Insurance, line locate company, legal & collection agency, etc.) while maintaining Oncor confidentiality.
- Gathers and compiles data to prepare reports, letters, memos, invoices, statements and damage property claim breakdowns.
- Monitor escalations inbox by forwarding customer requests to appropriate contact in Claims group
- Reconcile & submit monthly expense reports for department credit card.
- Efficiently helps with the weekly responsibility of maintaining the Claim’s department large physical, and virtual, filing systems.
- Distribute and monitor departmental mail (electronic and in-office correspondence).
- Assist with processing & recording incoming payments in PAID application as needed.
- Perform basic requests such as organizing meetings & ordering supplies for Collections Team.
- Responsible for gathering required documentation for claim audits Sarbanes–Oxley Act (SOX) for both liability and collections.
- Run weekly claim reports to capture the number of many claims entered, pending, negotiated, or settled
- Responsible for keeping a clean and well-organized environment while in the office
- Utilizes technical skills and accounting knowledge to create forms, spreadsheets, and other computer-generated information as assigned.
- Reconciles and posts monthly statements for collection and legal agencies for submittal to management in a timely manner and performs data entry to ensure accuracy of Oncor damage property claims.
- Working with Oncor processing systems such as Cognos, Distribution Management System (DMS), Fleet Maximo, AEGIS maps, Financial Information Management (FIM) and Customer Care & Billing (CC&B).
- Other duties as assigned.
- Strong written/verbal communication and interpersonal skills.
- Display positive, customer-focused attitude and be willing to work long or on occasion unscheduled hours.
- Prioritize work and have organization and multi-tasking skills to effectively manage large volumes of work.
- Work well under pressure, meet deadlines, creatively solve problems with minimal guidance, and work independently all while knowing when to seek guidance.
- High attention to detail.
- Proficient in computer PC skills including, but not limited to MS Office (including: Outlook, Word, Excel, PowerPoint).
- High School diploma, GED or equivalent required and 4 years’ experience in administrative support functions required.
- Applicants with two years college/secretarial school or four years college 2 years’ experience in administrative support functions encouraged to apply.
- Applicant with Texas Notary Public license encourage to apply.
- Works at a high level with minimal supervision, while never hesitating to ask for help/direction as needed.
- Maintain confidentiality at all times.
- Analyze and process claims billing statements each month as required.
- Provide timely itemized claim statements to recipients as requested.
- Ability to foster positive working relationships and develop a strong network with key stakeholders.
- Maintains a safe work environment, works safely and has minimal unexcused time-off.
- Knowledge of Company operations, policies and procedures.
