What are the responsibilities and job description for the Front Desk Coordinator position at One Step Beyond, Inc?
The Front Desk Coordinator reports to the Director of Compliance and is responsible for managing and routing all incoming calls and ensuring a high level of customer service is upheld in the front lobby/reception area. This position will provide administrative support to all leadership positions within reason and as approved by his/her supervisor. This position will support the OSBI vision, mission, core values and goals through all interactions with members, parents/guardians and members of the public.
Qualifications:
- High school diploma or equivalent
- Must have or be able to obtain a Level 1 Fingerprint Clearance Card.
- Experience working with individuals with intellectual disability or a similar population.
- Ability to gain knowledge and implement practices that show attention to compassionate and safe supervision of individuals with intellectual disability.
- Appropriate certifications and clearance according to State Regulations
- Good driving record must pass MVR
Responsibilities
- Answer all incoming calls, implement transfers to extensions, take messages and communicate these to designated employees in a timely manner.
- Maintain sign in/out book daily and send to the billing department weekly for data entry and tabulate 8th hour billable units daily and send to designated ADMIN staff members.
- Assist administrative and leadership staff with tasks as needed with approval by direct supervisor.
- Maintain confidentiality in all dealings involving One Step Beyond employees, program participants, finances and other vital information and/or situations
- Project a pleasant, helpful, professional, knowledgeable, and capable image consistent with the One Step Beyond mission in communications with program participants, their families/guardians, and all who contact the offices and programs of OSBI.
- Consider the welfare, growth and development of program members as a top priority in all organizational and program decision making, planning, and development, and model and demonstrate appropriate behavior management techniques (Article 9 training) with program members.
- Communicate effectively and in a timely manner with members and parents/guardians to address concerns, maintain positive relationships and serve as an advocate for members and a resource for parents/guardians.
- Actively participate in staff and administrative meetings and in-service training/workshops and program special events.
- Handle difficult situations with a positive attitude by actively seeking problem resolution, creative solutions, and department and organizational enhancements to ensure program effectiveness.
- Collaborate with others on staff to encourage professional growth/development while supporting OSBI decisions, goals and policies toward the goal of achieving among all staff effective collaborative interactions and mutual respect and support.
- Continuously evaluate job procedure effectiveness, and collaborate with Director Transportation and Quality Assurance Services to implement improvements and adjustments to processes and procedures.
- Seek opportunities to collaborate with and learn from colleagues as well as sharing knowledge, experience and best practices to achieve a greater degree of service to the organization and its program members.
- Demonstrate self-awareness of strengths and challenges and implement strategies to enhance strengths and address challenges.
- Any other duties as assigned.
