What are the responsibilities and job description for the Project Support/Admin Assistant (Part Time) position at Oneida Oneida ESC Group?
Sustainment & Restoration Services (SRS) is an 8(a) firm that provides engineering, science, construction, munitions, and specialized professional services solutions for customers nationwide.
SRS currently has an immediate opening for a Part-Time Project Support/Administrative Assistant to support our Santa Barbara or Ventura, California Offices by providing a diverse range of project and office administrative and general business support. The regular schedule will be Monday through Friday during regular business hours. The schedule is working a minimum of 20 hours per week, and while flexible, it must be coordinated through the Project Controls/Administrative Assistants direct supervisor. This position is open to full-time if the candidate has the appropriate skills and experience/background to support environmental consulting work.
Key Responsibilities:
- Perform a variety of moderately complex technical editorial and document production tasks such as creating/drafting correspondence, memos, and taking documents from rough to final draft, under verbal instruction. Makes decisions on format and layout and edits for accuracy and consistency of data.
- Prepare, edit and maintain reports and other documents as requested, including editing text, tables, data, lists, charts, and presentations, and quality checking work.
- Perform basic editorial checks (spell/grammar, incomplete sentences, incorrect dates, etc.).
- Compile, print, and quality check simple to complex documents, reports, graphs/charts, and presentations.
- Occasionally take minutes during client meetings.
- Coordinate meetings, appointments, and schedules. Assist with meeting logistics as requested.
- Perform data entry, data accuracy checks, electronic file management, mailings, copying and scanning.
- Assist project managers with various tasks, including but not limited to:
- Task tracking, including notification of deliverable due dates;
- Develop and maintain project schedules;
- Setup, maintain, and track project records.
- Monthly financial tracking, including preparation of budget spreadsheets and verification of accuracy;
- Compile monthly progress reports;
- Subcontractor procurement and invoice tracking.
- Extract project monthly accounting information from Engineering Cost Accounting software (BST a plus, not required) for inclusion in monthly financial tracking reports.
- Assist department staff with day-to-day administrative requests (as directed).
- Provide front desk support, when needed, to include answering incoming calls and general administrative support
- Management and scheduling of meetings, including setup, logistics, notifications to participants, production of meeting materials, etc.

- Ability to work well under pressure and handle multiple projects and deadlines simultaneously is essential.
- Demonstrate ability to tactfully and effectively communicate (written and verbal), with a variety of individuals including executive management.
- Demonstrate ability to exhibit a high degree of judgment and discretion in handling confidential information and situations.
- Demonstrated problem solving ability (e.g., developing office systems).
- Demonstrate high standards of personal and professional integrity and work ethic.
- Must be a highly organized and detail-oriented team player.
- Advanced knowledge and proficiency in the use of the Microsoft Office (Outlook, Excel, Word, Power Point, MS Project) and Adobe Acrobat (see attached specific skills for each program that will be required).
Minimum Qualifications:
- 3-5 years of progressive experience functioning in a support capacity to a department is required, preferably with engineering or environmental services firms.
- Associate's degree in business, communication, or related discipline or equivalent experience is preferred.
- Experience in MS Projects is preferred.
Compensation Range: $20-$30/ Hour
