REPORTS TO : Program Director

JOB SUMMARY :

The Program Assistant facilitates the efficient operation of the department by performing a variety of clerical and administrative tasks.

RESPONSIBILITIES :

  • Answers and transfers phone calls, screening when necessary.
  • Welcomes and directs visitors and clients.
  • Maintains electronic filing systems as assigned.
  • Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries of data when needed.
  • Responds to and resolves administrative inquiries and questions.
  • Coordinates and schedules meetings, and appointments for managers or supervisors.
  • Distributes client mail.
  • Maintains office supplies and coordinates maintenance of office equipment.
  • Check’s in clients upon arrival for outpatient services and ensures timely reporting of attendance.
  • Monitors electronic medical record support tickets in collaboration with the electronic medical record super admin.
  • Maintains electronic medical record system user profiles in collaboration with the electronic medical record super admin.
  • Participates in the implementation of small projects in collaboration with the project team lead.
  • Performs other related duties as assigned.

REQUIRED SKILLS / ABILITIES

  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Proficient in Microsoft Office Suite to include Outlook, Word, Excel, SharePoint, and related software.
  • Excellent organizational skills and attention to detail.
  • Basic understanding of clerical procedures and systems such as recordkeeping and filing.
  • Ability to work independently.
  • Regular and predictable attendance.
  • Must be able to successfully pass State, Federal, and Central Registry background reviews.
  • A valid Virginia’s driver’s license, good driving record, and with personal auto insurance.
  • EDUCATION AND EXPERIENCE :

  • High school diploma required. Associate’s degree preferred.
  • At least two years of experience in an administrative role.

    The employee must regularly lift and / or move up to 20 pounds occasionally lift and / or move up to 50 pounds. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception and ability to adjust focus.
