Job Overview:
We are seeking a highly organized and personable Bilingual Staffing Assistant to join our team. This individual will serve as the first point of contact for our staffing office, providing exceptional customer service while assisting with staffing operations. As the Staffing Assistant, you will welcome candidates, manage phone calls, and perform various administrative tasks to support the staffing team.
Key Responsibilities:
- Reception Duties:
Greet and assist candidates, clients, and visitors in a professional and welcoming manner.
Answer phone calls, direct inquiries to appropriate team members, and provide basic information about staffing services.
Manage incoming emails, mail, and packages, ensuring timely distribution.
Maintain a clean and organized front desk area.
- Administrative Support:
Assist with the onboarding process for new candidates, including paperwork, file management, and data entry.
Coordinate appointments and interviews for candidates with the staffing team.
Maintain and update candidate and client information in the staffing database.
Help with scheduling, organizing job fairs, and client meetings.
- Staffing Operations Support:
Provide assistance to the staffing team with candidate sourcing, screening, and interview coordination.
Support the recruitment process by conducting preliminary phone screenings as needed.
- General Office Duties:
Ensure office supplies are stocked and equipment is functioning properly.
Perform basic clerical tasks such as photocopying, faxing, and filing.
- Work Details:
Full-time, in-office position: Monday-Friday 8:00am-5:00pm
Standard office hours with occasional overtime as needed.
Work Experience
- High school diploma or equivalent required; associate’s degree or higher preferred.
- Previous experience in a receptionist, administrative, or customer service role, preferably in staffing or human resources.
- Strong interpersonal and communication skills, with the ability to interact professionally with candidates, clients, and team members.
- Excellent organizational skills and attention to detail.
- Proficient with Microsoft Office Suite (Word, Excel, Outlook, Google Suit, etc.) and comfortable using office equipment (phones, fax machines, copiers).
- Ability to multitask and prioritize in a fast-paced environment.
- Knowledge of staffing and recruiting processes is a plus but not required.
- Fluency in both Spanish and English is required for this position.
