Position Overview: As an Accounts Payable Clerk, you will manage and process all accounts payable activities using Sage 100 accounting software. Your primary responsibility will be to ensure accurate and timely payment of invoices, maintain financial records, and support the finance team in various accounting functions.
Duties and Responsibilities:
- Invoice Processing:
- Review and verify invoices for accuracy.
- Enter invoice data into Sage 100, ensuring correct coding and allocation.
- Schedule and prepare payments for approval.
- Vendor Management:
- Maintain and update vendor information in Sage 100, including contact details and payment terms.
- Resolve discrepancies with vendors as needed.
- Reconciliation:
- Reconcile accounts payable ledger to ensure all payments are applied correctly to vendor invoices and posted to the proper categories.
- Provide necessary documentation and reports for review.
- Record Keeping:
- Maintain organized and accurate records of invoices, payments, and other financial transactions.
- Ensure proper filing of documents.
- Reporting:
- Generate and review reports related to accounts payable activities, including aging reports and payment summaries as required.
- System Maintenance:
- Ensure Sage 100 software is up to date and functioning properly.
- Customer Service:
- Respond to internal and external inquiries related to accounts payable in a professional and timely manner.
Skills and Qualifications:
- High school diploma or equivalent; associate’s degree in accounting or finance preferred
- Experience as an Accounts Payable Clerk, with a strong background in bookkeeping
- Proficiency in software applications, preferably Sage 100
- Excellent attention to detail and strong organizational skills
- Strong communication and problem-solving abilities
- High ethical standards, ensuring confidentiality of all business-related information
- Ability to work independently as well as collaboratively within a team
- Ability to manage tasks in a high-pressure environment
- 3 years of bookkeeping experience preferred, especially in the construction industry
Job Type: Full-time (40 hours per week)
Schedule: Monday to Friday
