Schedule: Monday - Friday, from 8am - 5pm

Why Does This Job Exist At Ontex?
To better support the Plant Director, the HR Team and other departments within the Stokesdale, NC facility to ensure a harmonious flow within the company in communication, organization, and administrative tasks in a professional manner.
What Is The Scope Of The Job?
The ideal candidate will be required to perform the assigned tasks listed but limited to being proficient in Microsoft Office Suite and possess strong communication skills to manage scheduling, correspondence, and administrative tasks efficiently. The ideal candidate will demonstrate excellent communication skills, be adept at managing multiple tasks, and provide comprehensive administrative support to the Plant Director, the leadership team, HR, and various departments within the facility. This position requires someone who thrives in a fast-paced environment and is able to handle sensitive, confidential information with professionalism, the ability to prioritize tasks effectively, and a welcoming face-front personality to greet visitors and foster positive relationships.
Job Responsibilities and Duties
Calendar Management:
- Coordinate and manage the schedules of facility leadership, including appointments, meetings, and events.
- Ensure that the Leadership Team are prepared for meetings and on time.
Travel Arrangements:
- Organize travel for management and staff, including booking flights, booking hotel stays, accommodations, and transportation.
- Ensure smooth travel logistics, providing necessary itineraries and documentation.
Visitor Coordination:
- Greet and assist visitors, ensuring they are signed in, and escorting them to appropriate departments or meeting rooms.
- Schedule and manage tours or facility visits for clients or partners.
Town Hall Meetings:
- Prepare and coordinate monthly town hall meetings, including scheduling meetings out in advance throughout the year via email and through creating and posting flyers throughout the facility, organizing the employee breakroom for the meetings, organizing presentations, and ensuring smooth logistics.
- Communicate meeting details to staff and handle any follow-up tasks as required.
Administrative Support:
- Provide administrative support to various teams within the manufacturing facility, including document preparation, filing, and responding to general inquiries.
- Ensure smooth operation of office supplies and manage ordering office supplies and inventory as needed.
Office Management
- Organizing and maintaining an efficient and welcoming environment for both employees and visitors.
- Setting up tables, food, and coffee etc. for company events and preparation for our visitors periodically arriving.
Educational Requirements
- High school diploma or equivalent required
- Associate’s or Bachelor’s degree in Business Administration or related field preferred.
Prior Work Experience Requirements
- Minimum of 2 years of administrative or management assistant experience, preferably in a manufacturing or industrial environment.
- A proven strong organizational and multitasking abilities.
- Exceptional written and verbal communication skills.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other common office software.
- Strong attention to detail and ability to maintain confidentiality.
- Excellent interpersonal skills, with the ability to work effectively with a wide range of individuals at all levels.
- Self-motivated with the ability to manage multiple projects simultaneously.
- Experience with HR administrative tasks or onboarding processes is a plus.
