We’re looking to hire a Workplace Event Coordinator for a Fortune 500 fintech client .   Teams are very collaborative and have a passion for creating cutting edge customer experiences.

Our direct Fortune 500 client is looking for someone to join the Events  team to research, propose, and finalize employee events and activity options for offsite team building events of all sizes, collaborating with stakeholders for approvals. Provide on-site support as needed . This is a 10 – month contract extension and possible convert to perm. The team is located in New York, NY , and the role is on-site 3 days / week. Onward Search provides benefits for 40 hour work week and weekly paychecks (W2) for duration of the contract.

Workplace Event Coordinator Responsibilities :

Elevate the Event Experience : Design dinners and activities focused on creating thoughtful and memorable experiences that enhance the overall attendee experience.

Manage Vendor Contracts and Payments : Oversee vendor contracts, negotiate terms, and coordinate payment processing for timely and accurate execution.

Coordinate On-Site Logistics : Manage conference room assignments, A / V setups, and session-specific requirements.

Manage Shuttle Logistics : Plan and manage transportation schedules and external vendors for seamless attendee travel.

Provide On-Site Support : Troubleshoot issues in real time, support the on-site Workplace team, and ensure smooth operations during offsites, including evening activities and meals.

Manage Attendee Communication : Send travel invitations, manage RSVPs, and maintain clear communication with attendees.

Develop Scalable Processes : Create and maintain templates and documentation for repeatable, streamlined planning.

Workplace Event Coordinator Requirements :

2 years’ experience

Proven experience in event planning, logistics coordination, or employee experience.

Exceptional attention to detail and ability to manage complex logistics.

Strong problem-solving skills and adaptability to dynamic, fast-paced environments.

Effective communication skills with a focus on clarity and stakeholder engagement.

Flexibility to work varied hours to support event schedules, including evenings for dinners, early mornings for offsite preparation, and other event-related support as needed.

  • To qualify for our benefits package, you must work over 30 hours per week and the length of assignment must be a minimum of 10 weeks.
