SUMMARY
Bookkeeper/Account is responsible for all aspects of our financial recordkeeping, including the accurate and timely recording of financial transactions in QuickBooks accounting software. These duties will include customer billing entries, daily cash receipts postings, vendor invoice entry and payment, purchase order processing, and accurate accounting of job costs. The position also includes responding to client inquiries, verifying employee’s chargeable time on projects, reviewing supplier invoices prior to payment, and preparing journal entries, reconciling, and analyzing the general ledger accounts.
DUTIES AND RESPONSIBILITIES
• All aspects of accounts payable, including the coding and input of invoices and preparation of checks for payment. Monitor and analyze invoices and payments to vendors.
• Check and verify source documents such as invoices, receipts and packing slips.
• Prepare purchase requisitions and purchase orders and monitor compliance.
• Support the accounts receivable functions of billing entries, posting daily deposits and collections.
• Perform monthly bank reconciliations.
• Assist with Paychex payroll processing, in a backup role as needed.
• Maintain the billing folders for construction projects, with all the appropriate documents, including expenses, consultant invoices, and monthly invoices, in accordance with standard procedures.
• Prepare general ledger adjustments for approval and posting.
• Generate and distribute monthly receivables reports and profitability reports.
• Light general office work, filing, vendor follow up, scanning, data input etc.
• Work on additional projects as assigned.
QUALIFICATIONS AND REQUIREMENTS
• 3 to 5 years accounting/bookkeeping experience, related industry experience preferred.
• High level of proficiency with QuickBooks accounting software.
• Advanced computer skills, especially in Excel and Word.
• Good analytical and problem-solving skills; ability to understand complex situations and determine strategies and action required for resolution.
• Ability to work independently, take initiative, set priorities, and see projects through to completion.
• Excellent verbal and written communication skills with the ability to interact with various levels of staff.
Salary : $25 - $28
