Dispatching Supervisor Overview:
· Dispatch Supervisors will lead operational strategy and drive performance improvements by focusing on compliance, team development, and service excellence. Key responsibilities include mentoring and training the dispatch team, enhancing customer response times, and implementing industry best practices to ensure consistent, high-quality service across all levels of dispatch operations.
· This role is centered on building strong, collaborative relationships with Customers, Independent Contractors, and OnWay Team Members. The goal is to ensure successful deliveries, proactively identify solutions, and continuously evolve training processes to support operational excellence and team development.
· Master operational systems, dispatch procedures, processes, and infrastructure, while continuously identifying opportunities for improvement, increased efficiency, and overall operational effectiveness.
· Collaborate closely with the CEO, President, and COO on strategic planning initiatives and special departmental projects to support organizational growth and alignment.
· Additional responsibilities include overseeing and reporting on weekly, monthly, quarterly, and annual performance metrics. The role also involves organizing and participating in meetings, managing correspondence, addressing complaints and inquiries, and preparing presentations and reports as needed.
· Other duties may be assigned as needed in alignment with the evolving needs of the business.
Dispatching Supervisor Responsibilities and Expectations:
- Dispatching: Fully master our dispatching processes, understanding both the hands-on execution and the strategic elements that drive our success.
- Utilize Software Tools: Become an expert in our dispatching systems, software platforms, and Delivery App to ensure seamless operations and provide support to the team.
- Route Monitoring: Develop expertise in our clients' OnDemand, Route, and Fixed Site schedules to ensure accurate dispatching, timely deliveries, and proactive issue resolution.
- Manage Multi-Line Phone Systems: Operate multiple phone lines, prioritizing calls effectively in a high-volume environment.
- Effective Communication: Communicate clearly and professionally with independent contractors, customers, and internal teams to promptly address and resolve any issues or concerns.
- Collaboration: Serve as a liaison between all OnWay teams, ensuring continuous communication and comprehensive training across departments.
- Core Values: Mentor team members and reinforce positive morale by consistently promoting and embodying the company’s core values.
Dispatching Supervisor Qualifications:
- Experience: Minimum of 4 years’ Dispatching and Supervision experience using Dispatching software and/or TMS software.
· Process and Procedures: 3 years of developing and implementing operational procedures and policies.
- Customer Service: 5 years of outstanding customer service experience.
- Leadership: Exhibit strong leadership skills to guide, motivate, and inspire the team to achieve operational goals and maintain high performance.
- Solutions-Driven: Demonstrate precise decision-making abilities, responding effectively to high-pressure situations and providing innovative solutions.
- Professionalism: Uphold integrity, professionalism, confidentiality, and maintain composure under stress, ensuring a respectful and focused work environment.
- Tech Savvy: Comfortable with technology and eager to stay updated on new tools and software.
- Microsoft Office Proficiency: Experience with Microsoft Office Suite (Word, Excel, and Outlook) is required.
