The core responsibility for the executive assistant is to keep the manager and the team functioning with the utmost efficiency. OnyxPoint is a rapidly growing firm and this position plays a key role with a wide range of responsibilities, combining high-level administrative support with operational management.
Primary Responsibilities
Executive Support
- Manage complex calendars and schedule meetings for executives
- Arrange travel including domestic and international flights and accommodations
- Manage email inbox for executive
- Handle phone calls and correspondence
- Prepare and edit documents and presentations in Word, PowerPoint and Excel
- Organize and maintain accurate files
- Manage CRM database, including maintaining and updating contact information, tracking communication history, and organizing notes and interactions.
Administrative Tasks
- Document key discussion points during calls/meetings and prepare, concise meeting notes
- Prepare detailed and accurate travel itineraries
- Process expense allocations and reimbursements
- Organize on-site and off-site meetings and events
- Update company website
Office Management
- Oversee day-to-day office operations
- Preparation of conference room for in-person or video meetings
- Manage facilities and reception
- Manage office supplies and equipment
- Coordinate with service providers and suppliers
Qualifications & Skills
- Bachelor's degree
- 2 years of experience as an Executive Assistant
- Strong proficiency in Microsoft Office suite (Word, Outlook, Excel, PowerPoint), video conference platforms, Salesforce, Adobe Acrobat, and Wix
- Strong organizational and project management skills with the ability to multitask
- Excellent communication and interpersonal skills
- Ability to anticipate needs and proactively solve problems
- Ability to handle confidential information with discretion
- High level of professionalism
Compensation
Salary ranges for this position typically fall between $85,000 and $125,000 per year, depending on experience.
