Job Summary:
Open Door Baptist Church is seeking a dedicated and detail-oriented Administrative Assistant to support our church operations. This position will involve a variety of administrative, financial, and pastoral support duties, including managing finances, assisting the Senior Pastor, and maintaining church records. The ideal candidate will have strong organizational skills, experience with financial software, and a passion for helping the church community thrive.
Key Responsibilities:
Financial Responsibilities:
- Process payments for invoices, reimbursements, and monthly VISA statement using financial software.
- Track and manage all credit card transactions, including creating an Excel spreadsheet for oversight.
- Administer biweekly payroll for Open Door Baptist Church and the Learning Center Child Care; liaise with Tax Service for payroll tax processing.
- Handle all receipts for tithes and offerings and collaborate with the Counting Committee for weekly processing.
- Maintain accurate records for online and in-person tithes and offerings through ODBC software.
- Prepare monthly checking account statement reconciliation, financial reports, and summaries for Elders and church information.
- Ensure proper deposits and payments are made to savings, Stripe, and other accounts on a monthly basis.
- Backup PowerChurch financial data on a weekly basis.
Human Resources:
- Process all incoming new employees with SLED Checks, E-Verify, and W-2/W-4 forms.
- Enter new employees into PowerChurch for payroll processing and coordinate with Adams Tax Service.
Pastoral & Church Function Support:
- Manage the Senior Pastor’s calendar and assist with daily tasks and needs.
- Greet visitors (via phone or in person) and provide assistance as needed.
- Process and respond to postal mail, emails, and voicemail messages daily.
- Update and distribute daily devotionals, news, prayer requests, and special announcements.
- Prepare weekly Sunday Bulletin and distribute via email.
- Maintain and update Prayer Listing for Wednesday Evening Services.
- Coordinate and maintain schedules for church facility, vehicle, and trailer usage.
- Keep the church calendar and bulletin boards (including Prayer Board) updated.
- Maintain and update member information in church software; keep Deacons informed of members’ needs.
- Track staff absences and report quarterly to the Elders.
- Record and maintain minutes for all staff meetings.
- Assist with benevolence requests in collaboration with the Mission Coordinator.
Other Administrative Duties:
- Order flowers for church events or deaths as needed.
- Contact check signers and address maintenance concerns as needed.
- Schedule pest control, fire alarm checks, sprinkler service, HVAC maintenance, and other facility services.
- Prepare certificates for various church events (e.g., Baby Dedication).
- Purchase church supplies and process any SLED checks for new employees or volunteers.
- Handle Guidestone insurance needs and prepare statements for non-monetary donations.
- Maintain records for yearly mission projects and prepare annual contribution statements.
- Update the ODBC Facebook page and website as needed.
Qualifications:
- Experience: Minimum of 2 years of administrative or office management experience (preferably in a church or nonprofit environment).
- Skills:
- Proficiency with financial software and Excel.
- Strong organizational and time management skills.
- Ability to handle sensitive financial information and maintain confidentiality.
- Excellent communication skills, both written and verbal.
- Ability to work independently and as part of a team.
- Other Requirements:
- Strong attention to detail and the ability to multitask.
- Ability to build relationships with staff, congregation members, and visitors.
