What are the responsibilities and job description for the Operations Coordinator position at Opera for the Young?
The Operations Coordinator is a key member of the Opera for the Young (OFTY) staff and assists the company with three primary functions : tour management, company management, and budget / finance . This is a hybrid staff position with weekly in-office time required. The Operations Coordinator works closely with the General Director to assist OFTY in meeting company goals.
Position Details
- Status : Salaried, half-time position
- Benefits : Simplified Employee Pension Plan (SEP)
- Schedule : Requires some nights and weekends during the school tour season, and occasional travel
RESPONSIBILITIES
Tour Management
o Secure rehearsal space and accommodations for artists during rehearsal week (early to mid-October); act as company representative with hotels
o Assist General Director (GD) as needed; lead “Business Meeting” with artists to discuss company policies and procedures
o Schedule and attend auditions in Madison and Chicago; arrange audition sites
o Create year-long artist touring calendar
o Arrange lodging for touring artists, prepare vans for tour, and provide hotels with payment and tax exempt info
o Create weekly van pack (schedule, school & lodging info) and communicate with artists via email; re-stock supplies (brochures, business cards, gas cards, surveys, etc.)
o Serve as company liaison to host schools, share teaching materials and respond to questions
o Oversee the logistics for brush-up rehearsal sites and schedule
o Assist with and attend tutorial recording : arrange time and location
Company Management
o Update credit card holders; monitor transactions; notify bank of new officers or staff
o Manage income (school fees, grant awards, donations); enter payment data into Salesforce and QBO; make weekly deposits
o Answer phone, purchase office supplies, and organize storage rooms as necessary
o Work with repair personnel for maintenance of computers, copier, printers, and internet service
o Process invoices into QBO / Melio for artists / vendors
