Branch Administrator is the primary liaison throughout the branch assisting branch management, Service and Operations departments, our customers, and our employees. Their duties cover a multitude of areas including customer/salesmen assistance, invoice inquiries, lien releases, collections, employee support, and much more.
Essential Functions
- Assist customers with their questions and issues and help get them resolved timely.
- Identifying customer disputes and working with the Opifex Team to resolve
- Ensure sales reps receive all information pertaining to collections, including sending out the impending lien reports weekly.
- Responsible for assisting sales team with collections and managing accounts taking payments.
- Must communicate and follow up effectively with branch management regarding customer accounts on a timely basis.
- Mail payments received from customers
- Request and receive COIs from customers and send them on to corporate.
- Close cash drawers
- Monitor credits and disputes in salesforce
- Daily monitoring of impending liens and notice of Non-Payments
- Preparation of filing of liens and Notice of Non-payment as appropriate
- Call references when necessary to assist with credit applications processed smoothly.
- Assist sales reps to get applications completed and submitted.
- Review Invoices for accounts payable
- Utilize filebound and assist vendors if they have questions with account payable items.
- Assist Branch employees or guide them to subject matter expert such as HR team, safety, ADP, insurance, new hire paperwork etc.
- Assist with answering phones.
- Review and submit accrual report.
- Review Aging daily and reconcile posted against aging.
- Assist new employees with logging into ADP for their first time and completing their onboarding tasks.

Required Education and Experience:
- Commitment to excellent customer service
- Ability to prioritize and manage multiple responsibilities.
- Goal oriented with strong attention to detail.
- Proficient with Microsoft Office and Excel
- High School diploma
- Working understanding of lien laws is a plus.
- NACM certifications/designations are a plus.
- Minimum 3 years of experience in business-to-business collections preferred.
- Texas Notary not required to be hired but will be necessary.
Military service will be considered in lieu of education/certification experience as applicable.

- Service office setting
Travel Required
- Occasional field location visits and overnight stays
Physical Demands
- Prolonged periods of sitting at a desk and working on a computer and phone.
- Ability to lift to 50 lbs.
- Must be physically able to bend, squat, crouch, and reach.
