Towne Insurance is hiring an executive assistant to support the President of Towne Benefits. This position will be responsible for a broad and complex group of responsibilities and provide administrative support to the President. The executive assistant will act on behalf of the Executive in a manner that reflects the priorities, mission, goals, and values of Towne Benefits and Towne Insurance.

About the Role
- Reviews and evaluates all requests and communications forwarded to the Executives and where appropriate, summarizes, prepares responses and/or redirects to appropriate channel
- Manages day-to-day operations of the office and floor
- Reviews bills for payment and prepares the monthly reconciliation of the Executive’s expense cards
- Prepares agenda for monthly meetings and takes minutes; follows up with issues requiring response or action as needed
- Manages and coordinates calendars and emails
- Coordinates meetings and functions by determining dates, scheduling rooms, preparing meeting handouts and arranging catering
- Supports any acquisition projects by working with members of the acquisition team to complete documentation and perform other activities as requested by the team
- Coordinates travel for the Executive and other Towne Benefits employees, as requested
- Processes and prepares sponsorship requests for Executive approval
- Scrubs prospects in various systems, as requested
- Checks for and sends out all business associate agreements (BAAs) monthly
- Anticipates problems, critical issues, and opportunities as they arise and advises the Executive accordingly
- Handles confidential matters with discretion
- Completes all other general administrative duties, including electronic filing and file maintenance of carrier contracts
- Assists other members of the Benefits management team on an “as needed” basis
- Performs all other duties as assigned
- Obeys all applicable federal laws, rules, and regulations relating to HIPAA, Anti-Money Laundering (AML) including the Bank Secrecy Act (BSA)
Measures of Success:
- Supporting the Executive in such a manner that they are able to more effectively perform their job and responsibilities
- Annual review from the President
Skills and experience you’ll need:
- Proven ability to independently perform duties with confidentiality, integrity, and accuracy
- Demonstrated ability to evaluate situations, exercise independent judgment and make recommendations/ decisions as necessary
- Possess skills of tact, poise, and diplomacy in high profile office setting
- Ability to create presentations in KeyNote and PowerPoint
- Excellent time-management, prioritization, and organizational skills
- Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook
- Demonstrated experience managing a complex calendar
- Flexible as demands and priorities change
- Ability to exercise discretion, confidentiality and judgment in dealing with sensitive issues
- Ability to interpret and apply policies and guidelines effectively and accurately
- Strong oral and written communication skills
- Excellent customer service skills and telephone manners

- Active life and Health license
- Advanced user of Microsoft Office Suite
- Independent insurance agency experience
- Five years of Administrative/Executive Assistant experience preferred
