What are the responsibilities and job description for the Property Services Coordinator- Beach Properties of Hilton Head position at Opportunities at Towne?
Essential Responsibilities:
- Planning a proper workflow procedure within our maintenance and inspection software
- Create daily, weekly, and monthly schedules of maintenance and inspections
- Ensure that all Breezeway work orders are completed and closed in a timely manner
- Setting appointments with outside vendors for preventative maintenance
- Maximizing the efficiency of offset projects and staff
- Monitoring office expenditures
- Maintaining a healthy relationship with vendors
- Managing internal invoices
- Reporting any challenges to the Maintenance Manager
- Assisting the property management team in an administrative capacity as needed
- Carry out and adhere to company procedures and policies
- Adheres to applicable federal laws, rules, and regulations including those related to Anti-Money Laundering (AML) and the Bank Secrecy Act (BSA).
- Other duties as assigned.
Minimum Required Skills & Competencies:
- Experience as an Office Coordinator or a similar position in an administrative capacity.
- Ability to work independently and as part of a team.
- Strong verbal and written communication skills
- Strong organizational and time management skills
- Strong problem-solving skills and attention to detail.
- Ability to handle high-pressure situations with professionalism.
- Customer service experience
- Ability to work weekends and holidays
Desired Skills & Competencies:
- Proven experience as an Office Coordinator, Administrative Assistant, or similar role.
- Experience in vacation rental or property management preferred
- Proficiency in Microsoft Office Suite and property management software (e.g., Breezeway preferred).
Physical Requirements:
- Express or exchange ideas by means of the spoken word via email and verbally.
- Ability to lift 20 pounds and exert up to 40 pounds of force. Use your arms and legs. Frequent standing, walking, sitting, carrying, bending, reaching and twisting.
- Have close visual acuity to perform activities such as analyzing data, viewing a computer terminal, reading, and preparing documentation.
