Property Services Coordinator- Beach Properties of Hilton Head

Essential Responsibilities:

  • Planning a proper workflow procedure within our maintenance and inspection software
  • Create daily, weekly, and monthly schedules of maintenance and inspections
  • Ensure that all Breezeway work orders are completed and closed in a timely manner
  • Setting appointments with outside vendors for preventative maintenance
  • Maximizing the efficiency of offset projects and staff
  • Monitoring office expenditures
  • Maintaining a healthy relationship with vendors
  • Managing internal invoices
  • Reporting any challenges to the Maintenance Manager
  • Assisting the property management team in an administrative capacity as needed
  • Carry out and adhere to company procedures and policies
  • Adheres to applicable federal laws, rules, and regulations including those related to Anti-Money Laundering (AML) and the Bank Secrecy Act (BSA).
  • Other duties as assigned.

Minimum Required Skills & Competencies:

  • Experience as an Office Coordinator or a similar position in an administrative capacity.
  • Ability to work independently and as part of a team.
  • Strong verbal and written communication skills
  • Strong organizational and time management skills
  • Strong problem-solving skills and attention to detail.
  • Ability to handle high-pressure situations with professionalism.
  • Customer service experience
  • Ability to work weekends and holidays

Desired Skills & Competencies:

  • Proven experience as an Office Coordinator, Administrative Assistant, or similar role.
  • Experience in vacation rental or property management preferred
  • Proficiency in Microsoft Office Suite and property management software (e.g., Breezeway preferred).

Physical Requirements:

  • Express or exchange ideas by means of the spoken word via email and verbally.
  • Ability to lift 20 pounds and exert up to 40 pounds of force. Use your arms and legs. Frequent standing, walking, sitting, carrying, bending, reaching and twisting.
  • Have close visual acuity to perform activities such as analyzing data, viewing a computer terminal, reading, and preparing documentation.
  • Subject to internal and external environmental conditions.
