This position will ensure alignment with organizational goals by managing high-priority projects, coordinating executive operations, and supporting external engagement strategies.
Additionally, the Executive Project Manager will also provide assistance to the Co-CEO of Organizational Advancement as needed, ensuring seamless collaboration and support across leadership roles.

Essential Job Functions And Responsibilities
Project Management & Strategic Support
- Oversee and track key initiatives led by the Co-CEO to ensure successful execution and alignment with organizational priorities
- Develop project timelines, monitor progress, and ensure deliverables are met within deadlines
- Prepare regular reports and updates for staff and external stakeholders
- Support cross-departmental collaboration by coordinating project-related activities and follow-ups
- Manage the Co-CEO's calendar, including scheduling meetings, calls, and travel arrangements to optimize time and priorities
- Attend meetings, take minutes, and coordinate follow-up actions as needed
- Provide general administrative support, including electronic file organization, document preparation, and email management
- Plan and support with executing events, such as partnership meetings, elected official site visits, and OBT’s annual fundraisers
- Collaborate with internal teams to ensure seamless event logistics, including vendor engagement, invitations, agendas, and on-site coordination
- Support preparation for public appearances, presentations, and speaking engagements for the Co-CEO
- Assist in organizing fundraising initiatives and tracking donor-related projects
- Conduct research on prospective partners, government agencies, and funding opportunities to support resource mobilization
- Willingness to travel occasionally for conferences, partner meetings, and professional development opportunities
- Flexibility to work some evenings and weekends as required for board meetings or special events
- Associate’s degree in business administration, nonprofit management, or a related field preferred; equivalent experience will also be considered
- 3 years of experience in project management, executive assistance, event coordination, or a similar role
- Exceptional organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously
- Strong written and verbal communication skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and project management tools (e.g., Asana, Monday, Trello)
- Ability to work independently, exercise discretion, and maintain confidentiality
- Experience in event planning, fundraising, or external affairs is a plus
- A proactive, detail-oriented, and collaborative mindset with a commitment to OBT’s mission
- Complete all assigned projects and initiatives by established deadlines, ensuring alignment with organizational goals and the Co-CEO’s priorities
- Provide regular status updates and ensure deliverables meet quality expectations
- Maintain an organized schedule with accuracy, ensuring timely preparation of meeting materials, correspondence, and administrative tasks
- Serve as a key liaison, enhancing communication between the Co-CEO and the team by ensuring timely updates, priorities, and follow-ups. Foster collaboration through clear information flow and supportive partnership in achieving team goals
- Plan and execute events such as fundraisers, partnership meetings, and official visits ensuring smooth logistical delivery
- Evaluate, identify and implement improvements to workflows and administrative processes to enhance team and organizational efficiency
