The Executive Assistant will provide high-level administrative support to the CEO and CFO, ensuring seamless daily operations, effective communication, and efficient schedule management. The ideal candidate will be proactive, detail-oriented, and capable of handling sensitive information with discretion.
This is a full-time position based in our New York City office location.
Key Responsibilities
- Manage complex calendars, scheduling meetings, and coordinating appointments across multiple time zones.
- Organize and prepare materials for meetings, including agendas, briefing documents, , ensuring executives are well-prepared.
- Screen and prioritize emails, phone calls, and correspondence, responding on behalf of executives when appropriate.
- Act as the primary liaison between executives and internal/external stakeholders, fostering effective communication.
- Handle confidential information with utmost discretion and professionalism, maintaining a high level of trust and integrity.
- Coordinate domestic and international travel arrangements, including flights, accommodations, visas, and comprehensive itineraries.
- Assist in drafting, editing, and reviewing correspondence, reports, presentations, and other business documents.
- Track and follow up on action items, ensuring timely completion of key initiatives and deliverables.
- Conduct research and compile data to support strategic decision-making.
- Manage and reconcile expense reports, process invoices, and track budgets as required.
- Assist in planning and coordinating executive events, board meetings, and team offsites.
- Oversee office operations and administrative processes to enhance efficiency and streamline workflows.
- Collaborate with HR and other departments to assist in onboarding new executives and team members.
- Handle special projects, strategic initiatives, and ad-hoc requests as assigned.
Requirements, Experience and Qualifications
- 5 years of experience as an Executive Assistant, preferably supporting C-suite executives.
- Bachelor's degree in Business Administration, Management, or related field preferred.
- Strong organizational and time-management skills with the ability to prioritize tasks effectively.
- Excellent written and verbal communication skills.
- High level of proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Experience with Concur a plus
- Ability to multitask and work under pressure in a fast-paced environment.
- Strong attention to detail and problem-solving skills.
- Discretion and ability to handle confidential information professionally.
- Experience working in a corporate, financial, or global business environment is a plus.
Compensation
Expected Salary*: $90,000-100,000
Target Incentive bonus: 10%
*Actual compensation within that range will be dependent upon the individual's skills, experience, location and applicable laws.
