Job Summary:
We are seeking a highly organized and motivated Office Administrator to handle a variety of general office duties and assist with specialized tasks in real estate, construction, and property management as needed. This role offers flexibility, starting part-time with the opportunity to transition to full-time based on business needs. The ideal candidate will be adaptable, proactive, and comfortable working in a dynamic environment where no two days are the same.
Key Responsibilities:
General Office Administration:
- Answer phone calls, direct inquiries, and handle office communication.
- Manage office supplies and inventory, ensuring necessary items are stocked and available.
- Maintain a clean and organized office environment.
- Schedule meetings, appointments, and conferences for office staff and management.
- Handle filing, data entry, and maintain both physical and digital office records.
- Assist in preparing reports, presentations, and other office-related documents.
- Coordinate social media posts for all entities within the organization.
- Organize bank deposits and deliveries to proper banking establishments.
- Coordinate office mail and package deliveries, ensuring timely distribution.
- Help in setting up office meetings, including coordinating logistics and equipment.
Real Estate, Construction, and Property Management Tasks (As Needed):
- Assist in managing real estate listings, including preparing property marketing materials, advertisements, and digital content.
- Support the management of property-related documents (leases, contracts, and maintenance records).
- Coordinate appointments for property showings, maintenance requests, and contractor visits.
- Assist with maintaining tenant communications and managing tenant records.
- Assist with project tracking for construction and renovation tasks, including schedules, budgets, and contractor coordination.
- Assist with organizing permits, licenses, and compliance documents for construction and property management projects.
- Help with billing, invoicing, and tracking of payments for real estate and property management services.
- Assist in gathering and organizing data for real estate transactions, property assessments, and reporting.
Qualifications:
- High school diploma or equivalent; an associate's degree or related certification in business administration, real estate, or a related field is a plus.
- Previous office administration experience, preferably in real estate, construction, or property management.
- Strong organizational and time-management skills, with the ability to multitask and prioritize effectively.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), with the ability to quickly learn new software programs.
- Excellent written and verbal communication skills.
- Attention to detail and the ability to handle confidential information appropriately.
- Ability to work independently and as part of a team.
- Experience with property management software or project management tools is a plus.
Preferred Skills:
- Familiarity with real estate terminology and processes.
- Basic knowledge of construction project management or experience working with contractors.
- Previous experience in tenant relations and property maintenance coordination.
Working Conditions:
- Flexibility to work part-time hours with potential to transition to full-time.
- Occasional need to work outside of regular business hours for property-related issues or project deadlines.
- Some travel to properties for onsite tasks (as needed).
- Ability to work remotely as needed.
