Position Title: Admissions Director
Employment Type: Full-Time

Position Overview:
Optima Health Care Systems is seeking a dynamic and experienced Admissions Director to oversee and manage the intake and admissions process for individuals seeking services for substance use and co-occurring disorders. This leadership role involves ensuring a smooth, compassionate, and efficient admission experience for potential clients while maintaining compliance with regulatory and agency standards. The Admissions Director will also work closely with clinical and administrative teams to ensure that clients are appropriately assessed and connected with the services they need for successful treatment and recovery.
Key Responsibilities:
- Admissions Process Management:
- Oversee and manage the intake and admissions process, ensuring all required documentation is collected and reviewed in a timely manner.
- Ensure that clients are appropriately assessed for services, utilizing agency-specific tools, DSM-5 criteria, and ASAM criteria.
- Coordinate with clinical staff to ensure clients are assigned to appropriate levels of care based on their individual needs and treatment goals.
- Review and assess referrals from external sources, including hospitals, other treatment providers, and community partners.
- Provide guidance and support to individuals in need of services, answering questions, and helping them navigate the intake process.
- Team Collaboration:
- Work closely with clinical and administrative teams to ensure seamless coordination of services for incoming clients.
- Provide ongoing support and training to intake and admissions staff to maintain a high standard of service delivery.
- Collaborate with other departments, including clinical and billing teams, to ensure proper documentation and financial processing.
- Compliance & Regulatory Oversight:
- Ensure the admissions process complies with all regulatory requirements, including privacy and confidentiality regulations, treatment guidelines, and industry best practices.
- Monitor and ensure compliance with agency policies related to client intake, assessment, and documentation.
- Data Management & Reporting:
- Maintain accurate and up-to-date records of all admissions, ensuring that data is consistently recorded in the electronic health record (EHR) system.
- Prepare and submit regular reports related to admission activities, client demographics, and program capacity.
- Track and report on trends in client admissions and treatment needs to inform program development and service delivery.
- Customer Service & Community Relations:
- Provide excellent customer service to potential clients and their families, ensuring a positive and supportive experience throughout the admissions process.
- Develop and maintain relationships with external referral sources, community organizations, and other healthcare providers to facilitate seamless client transitions into treatment.
- Act as a liaison between the agency and external partners to promote awareness of the services offered by Optima Health Care Systems.
- Leadership & Professional Development:
- Supervise and mentor admissions staff, providing direction, support, and training to ensure high performance and professional development.
- Collaborate with the Executive Director to implement strategies for improving the efficiency and effectiveness of the admissions process.
- Participate in agency-wide meetings and contribute to the development of agency policies and procedures.
Minimum Qualifications:
- Education:
- GED or High school Diploma (Required)
- Experience:
- Minimum of 3 years of experience in admissions, intake coordination, or a related role within a healthcare or behavioral health setting (Required).
- At least 2 years of supervisory or management experience, with the ability to lead and support a team effectively (Required).
- Experience working with substance use and co-occurring disorder populations is highly preferred.
- Skills & Competencies:
- Strong knowledge of the intake and admissions process within a behavioral health or substance use treatment setting.
- Ability to assess and determine the appropriate level of care for clients based on clinical guidelines, including the use of ASAM and DSM-5 criteria.
- Exceptional organizational, communication, and interpersonal skills.
- Strong problem-solving abilities and the capacity to work independently in a fast-paced environment.
- Knowledge of privacy regulations (HIPAA) and other confidentiality standards in a healthcare setting.
- Proficiency in using electronic health record (EHR) systems and other related software.
- Other Requirements:
- Ability to pass an Enhanced Criminal Background Investigation through the Idaho Department of Health & Welfare (Required).
Preferred Qualifications:
- Experience in public relations, marketing, or outreach within a healthcare or behavioral health setting (Preferred).
- Knowledge of community resources and referral processes for individuals with substance use and mental health needs (Preferred).
Schedule:
- This is a full-time position with a standard work schedule, typically Monday through Friday during regular business hours. Occasional evening or weekend hours may be required based on client needs.
