Optimae Behavioral Health Services is seeking a full-time Administrative Assistant for our office in Ames. The Administrative Assistant performs general office support and receptionist duties and other duties as assigned. Provides pleasant and professional office support to the public and other staff. Works as a team with all personnel.
Responsibilities
- Greets the public in person and on the phone in a polite and professional manner, providing general information, answering questions, and directing people to appropriate staff.
- Becomes proficient in scheduling appointments and other assigned tasks using CareVoyant software.
- Maintains privacy in all aspects of the job.
- Responsible for the day to day office phone management. Answers phone, receives messages, and returns messages as appropriate. Makes daily reminder calls to customers. Assures the office phones are forwarded to answering service for after hours, weekends, and holidays for on call staff.
- Collects co-pays, balances at the window; updates client information in CareVoyant.
- Complete bank deposits; collects on A/R balances
- Processes critical incidents within the requested timeframe, submits to Regional Office Manager for review
- Verifies customers’ insurances daily
- Research and resolve denials
- Receives, sort, files and retrieves form, correspondence and documents.
- Establishes updates and maintains filing system in order to manage files and records.
- Operates a variety of office equipment including, but not limited to personal computers, printers, copiers, scanners, fax machines and adding machines.
- Prepares, receives and processes incoming mail, fills copy machine, shreds paper, and delivers faxes.
- Attends meetings and educational programs as required.
- Participates and communicates with other departments to assure that tasks are completed.
- Performs additional duties and responsibilities as assigned.
Qualifications
- High school degree or equivalent
- Experience with receptionist duties and personal computer
