Responsibilities:
The Warranty Associate is responsible for managing and processing warranty claims, handling customer inquiries, and ensuring the smooth administration of warranty-related processes. The primary duties will include:
- Receive, review, and process warranty claims submitted by customers, dealers, or service technicians
- Ensure all claims are complete, accurate, and comply with warranty guidelines set by the manufacturer or company policy
- Verify warranty eligibility, including confirming the product serial number, purchase date, and warranty coverage
- Create, track, and manage warranty claim records in the system
- Maintain organized records of all warranty claims, correspondence, and approvals
- Ensure warranty claims are processed in a timely manner, meeting all internal and external deadlines
- Update databases and systems to reflect approved or denied warranty claims
- Prepare reports on warranty claims, trends, and outstanding issues
- Communicate with customers and vendors regarding warranty eligibility, claim status, and resolutions
- Act as a liaison between the service department and the manufacturer to resolve warranty disputes or escalations
- Collaborate with the service or repair department to ensure warranty repairs are completed according to manufacturer standards
- Work with suppliers or manufacturers to obtain replacement parts, credit approvals, or service support when necessary
- Checking in new inventory and submitting DAF forms with necessary warranty work
Minimum Qualifications:
- High school diploma or equivalent (required). Associate degree or higher preferred
- 2 years of experience in warranty administration, customer service, or a related field
- Familiarity with warranty policies, procedures, and industry regulations is a plus
- Proficient in using warranty management software, ERP systems, or other relevant software (e.g., Microsoft Office Suite)
