Job Title: Bookkeeper
Reports to: Principal or Designee/Chief School Finance Officer
Job Goal: To assist in the administration in the smooth and efficient operation of the Finance Department
Qualifications:
- Holds a high school diploma or equivalent / Bachelor's degree preferred
- Post-secondary training in bookkeeping or accounting or minimum of three (3) years bookkeeping experience
- Computer skills, word processing, data entry, and experience with accounting software
- Task oriented and service oriented work habits
- Proficiency in oral and written communication skills
- Demonstrates aptitude or competence for assigned responsibilities
- Alternatives to the above qualifications as the Board might find appropriate and acceptable
Performance Responsibilities:
- Maintains a complete systematic set of records of all financial transactions
- Consults with the supervisor(s) regarding all reports and their preparation
- Respect the confidentiality of information pertaining to students, staff and school-related business
- Manage accounts payable expenditures
- Assign, enter and reconcile purchase orders
- Collect, record and deposit monies from concessions, fundraisers, school fees, and etc.
- Manage school system credit card(s)
- Reconciles accounts
- Assist in securing appropriate forms for all vendors
- Assist in the preparation and maintenance of Accounts Payable files
- Assist in payroll activities of the system in compliance with sound business practices, school board policies, and federal and state laws
- Assist in preparing journal entries and wire transfers for all payroll tax liabilities
- Assist in approving and posting payroll entries to the general ledger or spreadsheet
- Assist in preparing expense transfers to charge payroll transactions to the correct site or department budget
- Serve as a resource to schools and departments for payroll matters
- Assist in maintaining the system control maintenance payroll tables
- Assist in the preparation and maintenance of employee payroll files
- Assist in balancing and printing annual W-2 forms and submit to federal and state authorities
- Exercise a service orientation when working with others
- Communicate in an effective and timely manner with cost centers served
- Utilize appropriate strategies and problem-solving tools to make decisions regarding payroll, delivery services and the evaluation of services provided
- Interpret and enforce statutes, Department of Education rules, system policies and procedures as they relate to payroll
- Communicate effectively with the public, staff members, administrators and other contact persons using tact and good judgment
- Properly uses and cares for equipment and material resources of the school system
- Supports and complies with school system rules, administrative procedures, local Board policies, and state, federal, and local regulations
- Performs other tasks and assumes other responsibilities as may be assigned by supervisor(s)
Terms of Employment/Salary: 12 month (240 Days) / Non-Exempt / To be determined, commensurate with local salary matrix, credentials, and experience.
Evaluation: Performance to be evaluated in accordance with provisions of the Board’s policy on Evaluation of Classified Personnel.
