The Orange County Convention Center is seeking to hire a Event Coordinator with Convention Center Sales and Marketing Division. We are seeking a highly organized and detail-oriented Event Coordinator with experience in the planning and execution of large-scale events, including tradeshows and conventions. The ideal candidate will possess strong communication skills, the ability to collaborate with a wide range of stakeholders, and a deep understanding of event services and event operations

Job Description

General Functions

Responsible for the coordination of events within the Orange County Convention Center. General supervision is received from the Supervisor of Event Management and is reviewed through activity reports, conferences and results achieved.

Representative Duties/Assignments

  • Coordinates assigned events within the Orange County Convention Center: to include event outlines, equipment coordination, monitoring events in progress, customer service and relations, and contractual matters.
  • Enforces written policies and procedures of the Center and exercises independent judgment in all activities with clients, event patrons and the general public
  • Performs as liaison between users of the Orange County Convention Center and the Center's staff.
  • Attends planning meetings with clients and their vendors. Conducts pre-convention meetings with Center, divisions, clients and their vendors.
  • Collects and manages information for the purpose of producing an event.
  • Produces an event document, including schedules, department instructions and diagrams, utilizing industry specific software.
  • Reviews lessee's contract to ensure dates, times, facilities, and equipment provided are correct and contractual provisions have been fulfilled.
  • Manages events in progress to ensure compliance with Center policy and public safety codes.
  • Meets the Center of Hospitality (CoH) standards.
  • Leads the planning and execution of events, including tradeshows, conventions, and large-scale public assembly gatherings.
  • Collaborates with both internal and external stakeholders, including vendors, exhibitors, clients, and team members, to ensure smooth event operations.
  • Provides exceptional customer service by effectively communicating, actively listening, and resolving issues to meet customer needs.
  • Oversees event logistics and ensures all operational details are executed with precision.
  • Demonstrates strong knowledge of crowd management techniques and ensure a safe and organized environment.
  • Utilizes your understanding of event industry terminology to ensure clarity in communication and execution.
  • Performs other related duties as assigned.


Minimum Qualifications

Requires a Bachelor's degree in Business, Public Administration, Recreation or Hospitality Management and two years of experience in Convention/Event Coordination, or an equivalent combination of relevant education, training and experience.

Must have the ability to work a flexible schedule including evenings, weekends and holidays.

Preferences

  • Proven experience in event operations and planning, with a solid understanding of tradeshows, conventions, and large-scale events.
  • Strong interpersonal and communication skills, both written and oral.
  • Ability to effectively manage multiple priorities and maintain attention to detail under pressure.
  • Demonstrated experience in working with a wide range of event stakeholders.
  • Knowledge of crowd management and control techniques.
  • Familiarity with facility use contracts and event-related terminology.
  • Experience with Microsoft Office products and event management software.

Salary Information

Pay Grade: 015 - From $24.27 to $31.55

FLSA Status: Exempt

Placement based on Education and Experience
