Job Description
General Functions
Conducts special project assignments and provides administrative support to the assigned division. Responsible for providing administrative support to the Division Director and conducting assignments to enhance and improve division operations. Research, analysis, and evaluation of programs, projects, and operational procedures are performed as part of this classification.
Work is performed with considerable independence under the supervision of an assigned Supervisor or Manager. Performance is reviewed through observations, reports and results achieved.
Representative Duties/Assignments
Duties may vary based on area of assignment. The following are representative duties, it is not the intent to capture all duties performed by this classification.
Bachelor's degree from an accredited institution in Social Services, Business Administration, or a closely related field and two (3) years of experience in social work, business administration, or closely related field. In lieu of the degree requirements, additional relevant experience may be substituted on a year for year basis.
May be required to possess a maintain a valid Florida Driver's License.
Must be able to demonstrate intermediate proficiency in email applications and other office software.
Preferences
Proficient in Microsoft Office. Word, Excel, Outlook.
Public assistance Grants experience.
Advantage Accounting Software experience.

- Provides comprehensive administrative assistance to the Program Manager, including scheduling, preparing reports, and handling correspondence.
- Coordinates and completes all required paperwork, electronic registration, and submission necessary for proposals and grants within the prescribed deadline.
- Ability to work as a team and independently with contractors and clients.
- Oversees record retention requirements in alignment with local, state, and federal compliance.
- Acquires and maintains up-to-date knowledge of funding from federal, state, and local agencies.
- Serves as the communication point with client program inquiries, new clients, current clients, and former clients to determine their needs and facilitate needed services.
- Track deadlines and deliverables for grant compliance and completion.
- Completes program-related fiscal activities such as purchase requests, payments to contractors and internal fiscal reporting.
- Performs other related duties as assigned.
