The Orange County Department on Aging has an opening for a Temporary Seymour Center Front Desk Evening Staff Person.  This is a part-time, temporary position.  An employee of this class is primarily responsible for greeting visitors and patrons of the Orange County Senior Centers, providing security for entry into the building, scheduling activities, setting up meeting rooms, taking payments for event attendance, and collecting data and reporting on facility usage.
 
Work is performed under the regular supervision of the Senior Center Coordinator with leeway to exercise independent judgment within the framework of applicable rules, regulations, policies and procedures in the performance of duties. This position does not supervise. Does related work as required.

The position hours are approximately 5 – 9 pm Mon – Thu and 8 am – 5 pm on Saturday.

Work Location: Seymour Center, 2551 Homestead Rd, Chapel Hill, NC

Greets visitors and patrons of the Senior Center and provides event/activity details and locations.
 
Assists patrons with enrolling for events/activities; takes payments for events/activities.
 
Responsible for managing the facility; ensures facility is opened and the building is ready for the day/evening’s operations; and is accountable for end of the day closing and securing of the facility throughout the work time.
 
Responsible for identifying maintenance concerns and submitting work orders to Asset Management Department.
 
Schedules meeting rooms for activities, events, staff meetings and rentals in RecTrac, the recreational scheduling computer software database.
 
Assists with programming by setting up and taking down equipment; assists staff, presenters and instructors with equipment and logistical issues and questions; will identify, plan, and submit programs for quarterly newsletter and also host/lead programs.
 
Provides assistance to volunteers.
 
Completes accident reports and follow-up when patrons have incidents; assists with the Emergency Management Building Plan, may serve on the department’s Emergency Action Plan committee.
 
Adheres to the department’s safety rules and regulations.

Uses computer applications or other automated systems such as spreadsheets, word processing, calendar, e-mail and database software in performing work assignments.FULL PERFORMANCE OF KNOWLEDGE, SKILLS AND ABILITIES
Good knowledge of Senior Center programs.
 
Good knowledge of appropriate laws, rules, regulations and procedures pertaining to the position, and County and department policies and procedures.
 
Good knowledge of confidentiality guidelines and the ability to apply guidelines to client records.
 
Good knowledge of the County facility rental policies and the ability to determine appropriate fees or non-charges for facility usage; Good knowledge of the RecTrac software application, and the ability to use both activity and facility sites, generate reports and records and assist and train staff on the software.
 
Skill in being customer-focused, adept at problem solving and working collaboratively with others.
 
Skill in public and interpersonal relations.
 
Skill in establishing priorities and organizing work.
 
Ability to demonstrate sound judgment, integrity, resourcefulness, accuracy, thoroughness and the physical condition commensurate with the demands of the position, while maintaining an ethical standard of care.
 
Ability to communicate effectively both orally and in writing, and deal with culturally diverse populations.
 
Ability to interact in a professional and courteous manner with the general public; ability to establish and maintain cooperative relationships with co-workers, volunteers, program leaders, patrons and the general public.
 
Ability to prepare and maintain accurate records and reports and complete assignments accurately and timely.
   
Ability to effectively set up and use audio video equipment.
 
Ability to effectively use computer applications such as spreadsheets, word processing, calendar, e-mail and database software to maintain records, prepare reports, and conduct correspondence related to the work.
 
Ability to encourage individuals to become volunteers, instructors and/or activity leaders.

Ability to schedule rooms to accommodate the type of activity/event and appropriate space for attendance; ability to track attendance and number of programs for reporting.

MINIMUM QUALIFICATIONS
Graduation from High School or General Educational Development (GED) test equivalency AND two (2) years’ work experience performing general clerical/administrative tasks, working with the public, handling money and generating reports.  
 
A higher degree does not substitute for work experience.
 

Preference for candidates with prior security experience. 



SPECIAL REQUIREMENTS
Possession of or ability to readily obtain a driver’s license valid in the State of North Carolina for the type of vehicle or equipment operated.
   
All offers of employment are conditional upon successful clearance of a background check and pre-employment drug testing. Employment cannot commence until the employee has been cleared.PHYSICAL REQUIREMENTS AND POSSIBLE HAZARDS
Ability to physically perform (with or without reasonable accommodation) basic life operational functions of climbing, balancing, stooping, kneeling, crouching, crawling, reaching, standing, walking, pushing, pulling, lifting, grasping, feeling, talking, hearing and repetitive motions of the hands/wrists.  
 
Ability to perform medium work, exerting up to 50 pounds of force occasionally, and/or up to 20 pounds of force frequently, and/or up to 10 pounds of force  constantly to push, pull or move objects.
 
Must possess the visual acuity to prepare and analyze data and figures, inspect or assemble equipment, perform extensive reading and operate a computer terminal.
 
Worker is subject to possible hazards that include emotional stress due to the nature of interactions with clients or family members who are upset or angry.
 
Worker is potentially exposed to infectious bodily fluids (i.e. blood, urine and bodily discharges.)
