Orange Water and Sewer Authority (OWASA) strives to be our community’s trusted partner for clean water and environmental protection. Through teamwork and partnership, we work together to deliver valuable water and sewer services that are essential to our community. OWASA is looking to hire two Temporary Administrative Assistants.
Examples of Duties
(1) Customer Relations/Finance Administrative Assistant will provide administrative and technical support to the Customer Relations and Finance Departments, as well as deliver excellent customer service to OWASA visitors and members of the public that call into the main phone line. This position will work 35 – 40 hours per week (Monday – Friday during regular business hours), and assignment is expected to begin in April and end in September.
- First point of contact for visitors entering the main Administration Building. Greets visitors as they arrive; notify appropriate staff member.
- Answers main telephone line, screens, and directs calls in a friendly, welcoming, and helpful manner.
- Organizes, schedules, and prepares for meetings and special events.
- Gathers, secures, and verifies information to prepare documents and presentations. Conducts data entry of information by developing and maintaining spreadsheets, databases, and various computer files. Maintains electronic and paper filing systems for department(s).
- Prepares and executes large mailings. Distributes and processes incoming/outgoing mail daily. Requests, issues and reviews for accuracy purchase orders, invoices, and check requests.
- Maintains the overall operation, supplies, and service for the organization’s postage machine.
(2) Water Resources Administrative Assistant will provide administrative and technical support to the Water Resources Department. This position will work approximately 20 hours per week (Monday – Friday during regular business hours), this assignment could last up to one year.
- Provides administrative support to the Water Resources Laboratory, Plant Operations and Maintenance Teams.
- Reviews and distributes invoices and purchase orders for approval by the Director and Managers.
- Assists with maintaining online Lake boat rentals and reservations during lake recreation season.
- Supports physical paper filing and document scanning to digital forms.
- Updates the electronic departmental message board.
- Provides support for departmental meetings and special events.
- Orders departmental office and cleaning supplies.
Typical Qualifications
- High school diploma or GED with experience working in professional setting.
- Microsoft Office skills (Excel, PowerPoint, Word, Access).
- Ability to multi-tasking: Ability to effectively communicate information and respond to questions in person-to-person and small group situations with customers, public, and other staff.
- Work independently and make routine decisions within established guidelines.
- An awareness and appreciation of the cultural diversity of the community.
