SUMMARY
The Customer Service Representative (CSR) takes responsibility for working with our sales team ensuring flow through of information between our sales team, customers, and supply chain. This role has strong command of OVS’ policies and is well-trained in product knowledge that can be critical for offering quick and accurate assistance to our customer base.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
- This position is responsible for Receiving Goods, Issuing Sales Orders, and working directly with Customers and members of the Sales and Supply Chain teams.
- Responsible for maintaining a high level of professionalism with clients and working to establish a positive rapport with every customer.
- Responsible for maintaining spreadsheets and files, and preparing Open Order Reports and other Monthly Reports as needed.
- Resolves common customer complaints per specific policies and procedures, referring unusual or significant issues to supervisor and/or sales staff of interpretation and resolution.
- Serves as a liaison – providing best class communication between the sales team and internal and external partners ensuring seamless communication via email and phone.
- This position is instrumental in scheduling deliveries and following up to ensure deliveries are satisfied to completion.
- Works closely with Yard Supervisor ensuring deliveries/product going out is timely. Assist in and around the warehouse and/or lot when necessary. May need to utilize forklifts and/or other shipping and receiving equipment.
- Ensures all invoicing is complete and accurate.
- Communication will be critical –ETA of product to sales team; arrival of containers to yard/store/customer.
- Familiarity with and serves as subject matter expert on container loads; weights; and dimensions.

EDUCATION and/or EXPERIENCE
Completion of High School education and/or GED Equivalency required. Associate Degree or higher preferred. Experience in a customer service/sales-assistant position will be beneficial. Able to create and administer a task priority list based on company needs. Upbeat attitude, willingness to grow/learn. Possess good oral communication skills, sound analytical skills and professional telephone etiquette. Experience using the MS Office suite (MS Word, MS Excel, and MS PowerPoint). Ability to operate computer for data input and retrieval.
LANGUAGE SKILLS
Ability to read and interpret documents. Ability to write routine correspondence. Ability to speak effectively individually and before groups of co-workers. Actively listens to others. Communicates with others clearly, openly, and respectfully. Bilingual in Spanish a plus but not required.
MATHEMATICAL SKILLS
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
REASONING ABILITY
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
