Executive Assistant Job Description
Seeking a highly organized, detail-oriented, and self-motivated candidate for this role. The Executive Assistant will handle a variety of tasks, from managing schedules and travel arrangements to supporting special projects and maintaining strong communication with team members. Strong time management and follow-up skills are essential.
Responsibilities:
- Manage senior management calendars, schedule meetings, appointments, and events.
- Arrange travel and accommodations for senior management, ensuring all logistics are handled seamlessly.
- Prepare and format documents such as presentations, reports, agendas, and correspondence when needed
- Screen calls and emails, respond to requests, and direct non-routine inquiries to the appropriate staff.
- Draft internal announcements, correspondence, and reports as needed.
- Confidentiality and Discretion: Handle sensitive matters with a high level of confidentiality and discretion are required for this role.
- Project and Calendar Management: Help manage senior management contacts and ensure all personal and professional meetings are properly scheduled and organized.
- Oversee complex schedules and resolve any calendar conflicts.
- Help with ad-hoc projects, including personal events or family-related tasks.
- Perform general administrative duties such as filing, copying, and organizing information.
- Maintain a highly functional and organized work environment.
- Be responsive to phone calls, emails, and texts, often outside of regular business hours.
- Provide backup support for accounting and assist with any necessary administrative functions.
- Perform other duties / tasks when needed
Qualifications:
- Strong organizational and time management skills with the ability to prioritize and manage multiple tasks.
- Detail-oriented with excellent follow-through on assignments.
- Proficient in MS Office.
- Excellent verbal and written communication skills.
- Ability to work independently, make decisions, and manage sensitive information with discretion.
- No formal degree required; prior experience in a similar role preferred but not mandatory.
Job Type: Part-time
Pay: $15.00 - $20.00 per hour
Expected hours: No more than 40 per week
