PRIMARY PURPOSE
The Workforce and QI Program Assistant role is to provide primary support for the statewide training program and workforce development. This includes both general administrative functions and support for program and statewide trainer needs.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Training and Workforce Support (70%)
• Maintain updated materials, forms, packets, and other training and curriculum materials.
• Track, inventory and order supplies as needed for the training program and staff.
• Process program or organizational forms including tracking and reconciliation.
• Responds to emails and other digital queries and correspondence.
• Locate, schedule and coordinate facilities use and clean up.
• Greets visitors and staff in person, via virtual platforms and through written communication.
• Provide support for meetings which may include notetaking, packet preparation, refreshments, follow up, etc.
• Create and maintain project information in project management systems as directed.
Administrative Support (30%)
• Perform general administrative duties such as but not limited to; filing, photocopying, taking and distributing meeting minutes, managing schedules, coordinating travel arrangements, scheduling appointments with internal and external parties, ordering supplies, sorting and distributing correspondence and maintaining database records.
• Communicate with training team members to coordinate data collection and synthesize reporting.
• Send staff reminders and other program or organizational communications as directed.
• Perform data entry and support data reporting.
• Provide notetaking, task tracking and monitor timelines for team meetings and work.
OTHER DUTIES AND RESPONSIBILITIES
• Be responsive to the needs of the organization by ensuring alignment with organizational goals and objectives in all aspects of the work.
• Provide administrative support for the statewide office as needed.
• Other duties as assigned or needed by the organization.
Qualifications
QUALIFICATIONS
• Excellent written and verbal communication skills, and ability to present and work with diverse audiences, specifically racial, ethnic, gender expression, socioeconomic, education, spiritual and alternative cultural backgrounds.
• Must be able to pass preemployment requirements, which includes a criminal and abuse background check.
• Ability to represent complex and diverse issues in an articulate and compelling manner.
• Demonstrated ability to bring multiple views and perspectives together for common services, supports and outcomes.
• Must be able to work with multiple projects within tight timelines and deadlines.
• Demonstrate excellent organizational and time management skills.
• Proven ability to work independently and part of a team.
• Have reliable transportation, valid and current automobile insurance and an insurable good driving record, or access to reliable transportation.
• Knowledge and understanding of confidentiality standards according to HIPAA.
• Comprehensive knowledge of, or ability to use, Microsoft Office (such as Word, Excel, PowerPoint), database, electronic health record software, and virtual platforms (such as Zoom and Google Meets).
Salary : $20 - $25
