The Team

The Second Chance program facilitates the transportation of animals into OHS & between OHS campuses. Second Chance partners closely with local and national source shelters to ensure the animals that are transferred have the needed resources and space once they arrive at OHS. Second Chance ensures that partner agencies adhere to program requirements such as behavior assessments, vaccination agreements, physical exams that are safeguards for overall health and safety of our animal population.

The Position

The Second Chance Coordinator is a vital member of the OHS Shelter Operations team and is responsible for facilitating the acquisition of highly adoptable animals from partner agencies in our current market of operation. This role is also responsible for working collaboratively with Admissions & Transport Manager to continually monitor OHS’ inventory of animals in residence to meet established organizational goals, coordinating transfer logistics, and for building new relationships with agencies through education and outreach. For the welfare of all animals in residence, this program coordinator must also work collaboratively with all OHS departments to ensure that the mix and quantity of animal breeds are optimized for customer satisfaction and minimal residence times.

PRIMARY RESPONSIBILITIES

• Act as primary scheduler for Second Chance animal intake. Duties include but are not limited to scheduling transfers, coordinating travel, and overseeing animal pick-up and intake procedures.
• Carry out preparation for air and ground transports for intakes at OHS or satellite locations (8001/Rescue) including finalizing candidate manifests, volunteer coordination, skilled animal handling capabilities, data entry. This may include late night intake.  
• Organize Second Chance transfer logistics with external and internal stakeholders.
• Nurture existing relationships with partner agencies and rescues through communication, responsiveness, and attention to detail.
• Manage and respond to requests for interagency assistance in a timely, thorough, and professional manner. Communication will be via telephone and email.
• Actively collaborate with Admissions & Transport Manager, Second Chance Coordinators and Admissions Leadership to monitor inventory of animals in residence at OHS to achieve established goals, including the optimal mix of dogs and cats from owner release, Second Chance, foster returns, medical, and rescue circumstances.
• Serve as lead in candidate selection with a focus on highly adoptable animals.
• Understand guidelines for behavioral and medical intake. Submit Requests for Medical Intake to the Medical Team as needed.
• Oversee the report for outcomes of incoming transfer animals, including final intake numbers and any medical or behavioral concerns that arise on intake. Collect, enter, and present data in a clear, professional matter.
• Analyze transfer schedules and identify trends. Utilize data to determine ongoing success of partnerships and optimize outstanding adoption rates for OHS. 
• Train Level 3 Admissions Technicians on best practices for coordinating with regular, established partners. Monitor communications and provide support or coaching as needed.  
• Track and record all Credit Card expenses and spending for fuel, travel receipts, and any other purchases.
• Safely transport animals between OHS and partner shelters, rescues, animal welfare organizations and veterinary clinics within the state of Oregon and out-of-state.
• Follow animal transport procedures and guidelines set by the Oregon Humane Society.
  • Provide care, food and water for animals during transport.
  • Monitor animals for signs of distress and/or illness and communicate concerns as outlined by protocol.
  • Verify animals are accurately accounted for and correlate to transport manifests.
  • Load and unload animals safely and efficiently.
  • Perform spot cleaning of transport vehicle and animal kennels during transport.
• Complete behavior assessments at source shelters as necessary for animal selection.
• Greet and interact with the external agencies, the public, staff, volunteers, and donors in a friendly, professional, and respectful manner. Work to resolve complaints and issues in a productive and collaborative manner.
• Work daily with animals of varying size and temperament, handling individual animals in a safe, caring, and respectful manner.
• Communicate with and guide the work of assigned volunteers daily to ensure their most effective and efficient utilization.  Assist in training volunteers. Observe and give regular feedback about volunteer capabilities and training needs to Volunteer Manager to continuously improve work quality and improve the ability to augment area functionality
• Assist with public education events such as tours, presentations and in-shelter types of education such as animal behavior training, Shelter Greeter Training and Shelter Day Camp
• Attend staff meetings and trainings as scheduled. On daily basis, read communication log and memos.
• Perform any other duty as request by management.

• High school graduate or GED equivalent 
• 1 year(s) related work experience in inventory management and planning / coordinating event logistics
• Advanced knowledge and experience working with a wide variety of dog breeds, including ability to assess behavioral attributes and general health condition
• Excellent verbal and written communication skills
• Excellent time management, planning, organization, and prioritization skills
• Able to respond to changing priorities and demands on time with little to no notice
• Able to communicate with a diverse population in a consistently informative, respectful, and professional manner
• Able to exercise sound judgment during all interactions with the public, partner agencies, donors, staff, and volunteers
• Able to negotiate and resolve competing priorities between stakeholders, resolving conflict in a positive and collaborative manner
• Proficient in use of the Microsoft Office suite, with particular emphasis on the use of Outlook and Excel
• Trained and certified in CPR and First Aid. Must maintain certification as a condition of continued employment in this position
• Able to work weekends, evenings and holidays as requested
• Able to travel in and out of state as needed, with occasional overnight stays
• Able to maintain a valid Driver’s License and provide proof of insurance
• Able to exercise sound judgment and maintain a professional demeanor during all interactions with the public, partner agencies, donors, staff, and volunteers.

Work Environment Conditions & Physical Requirements

This position interacts and collaborates will all levels of the organization, including OHS staff, executive team members, donors, general-public, external vendors, volunteers, and supporters. Contact and communication is carried out through face-to-face, telephone and digital interactions. Excellent customer service skills are essential to success. Communication must be clear, understandable, professional, and respectful in all circumstances.

WORKING CONDITIONS

• Work is performed in an office and medical center/animal shelter environment.
• Travel between the two campuses may be required.
• Working at both campuses may be required.
• Occasional weekend and evening work may be required.
• Animal contact and related injuries may occur.
• Noise exposure varies and sometimes includes uncontrolled barking and other animal vocalizations.
• Pace of work is active and demanding, requiring a high degree of multitasking and ability to adapt to changing priorities while managing concurrent projects/tasks to completion.
• Contact with angry or emotional people may occur.

PHYSICAL REQUIREMENTS

• Occasional lifting and moving of inanimate objects weighing up to 50 lbs.
• Occasional pushing and pulling of carted items weighing up to 100 lbs.
• Occasional moving items above shoulder level.
• Occasional use of hands and arms at or above shoulder level.
• Prolonged standing, sitting and/or stooping may occur.
• Occasional climbing and bending.
• Must be able to lift, move, restrain, guide, or manage an animal weighing up to 150 lbs. on a leash on an occasional basis.
• Must be able to remain in a stationary position for prolonged periods.
• Ability to respond and perform life saving techniques in an emergency.
